HR and Office Administrator

At Safe in Sussex, we provide a range of practical and confidential help and support services for residents in West Sussex, including refuge accommodation for women and their children, recovery support groups, 1 to 1 guidance and advocacy, and training and support for professionals.
As HR and Office Administrator your job will be to provide administrative support as directed across a range of areas, in particular HR, to assist with the smooth running of the charity, and support of our service delivery. You will also provide direct support to the CEO with preparation of reports and HR data.
Location: Head Office in Ferring (with some travel across West Sussex required at times)
Hours: 20 hours per week over 4 days (Monday to Friday with specific hours to be agreed).
Salary: £14,560 per annum (£26,936 FTE)

Your role will be busy, interesting and varied, but key responsibilities will include:
- Assisting with recruitment campaigns
- Completing pre-employment checks for new starters (DBS and referencing)
- Preparing all documentation relating to employment T&Cs, including initial contracts and subsequent changes
- Maintaining employee records on the organisation’s HR software ‘Breathe’
- Overseeing the quarterly Performance and Development Review process, preparing and issuing forms, recording outcomes, and providing summary data to the CEO
- Preparing draft revisions to the Employee Handbook relating to changes in policies, procedures, and legislation
- Managing ad hoc emails, phone enquiries, archiving and SharePoint admin
- Overseeing Subject to Access requests
- Maintaining written policies and procedures for review by Senior Managers/Trustees to ensure ongoing compliance and relevance
- Supporting the CEO with preparation of various reports.
This job could be right for you if you have:
- at least 2 years’ experience in an administrative role
- at least 1 year's experience working within HR
- strong organisation skills, including time management
- excellent written and verbal communication skills
- an eye for detail and experience with accurate record keeping
- a high level of computer literacy across multiple software applications
