Under supervision, assist the Purchasing/Returns Team, to ensure all tasks are processed in accordance with Company procedures, to the required standards, and within the agreed timescales.
MAIN DUTIES
The main aim of the Purchasing/Returns Team is to replace stock sold and get it back on the shelf, ready for future requirements, while trying to achieve the agreed margin against the sale.
The Purchasing/Returns Team works closely with Fixed Wing Sales to achieve the required results. As a general guide, Fixed Wing Sales processes all outgoing customer sales and exchanges, while Purchasing/Returns processes all incoming purchases and customer exchange cores.
Primary
To receive training and become proficient in all of the following:
1. Review BER and sales stock replacements on a timely basis, as requested by Manager.
2. Record all requirements on shared purchasing spreadsheet and keep updated until closed.
3. Check previous purchase order history and compare with current market offers. Keep copy of all supplier quotations in Purchasing Team Mailbox folders and input quotations in Aerotron TAPS computer system.
4. Liaise with external suppliers and/or internal departments and raise purchase orders as required for parts and services.
5. Make new email folder for each purchase order in Purchasing Team Mailbox and monitor all incoming emails, moving any correspondence relating to an order to the correct folder once actioned.
6. Contact suppliers for delivery information/updates to ensure all purchased items are delivered on time and as scheduled; working to deadlines.
7. Identify discrepancies on incoming GRN and resolve supplier or shipment problems. Working with Aerotron Stores Inspector or Imports Team as required.
8. Communicate with internal departments to give and receive regular updates.
9. Recording all relevant information on TAPS (in-house computer database) and filing of all associated paperwork.
10. Proactively identify opportunities to buy stock to add to our inventory at a good price.
11. Communicate any delays/issues to the Manager.
Secondary
1. Assist with the Return function as and when required subject to work loads.
2. Supporting the Fixed Wing team with ad-hoc duties and small projects.
3. Regularly communicate and liaise with suppliers/potential suppliers and customers to facilitate good working relationships.
· Minimum of general level of education to GCSE standard (five passes at grades A-C including mathematics and English) or equivalent work experience.
· Some experience in an office environment (ideally in customer service, sales, aviation or procurement) to demonstrate competence working with procedures, processes and IT systems, would be helpful but not essential.
· Awareness of aircraft parts inspection and aviation industry parts certification would be advantageous but is not essential.
