Property and Building Repairs Limited is a specialist property maintenance and construction company working throughout London. We provide reactive repairs, planned maintenance, leak detection, roofing, drainage, paving, decorating, fire safety works, window repairs, investigations, and general building maintenance for managing agents, freeholders, commercial clients, and residential developments.
Due to continued growth, we are looking for an organised, proactive, and highly motivated Office Administrator / Construction Coordinator to join our team.
You will be working from our office in Potters Bar, EN6.
The Role
This is a fast-paced role where you will be responsible for coordinating jobs from start to finish, ensuring engineers and contractors have all necessary information, maintaining excellent communication with clients and residents, and assisting with administration and reporting.
You will be the link between our clients, residents, surveyors, and office team.
Working Hours are 08.30am to 05.00pm - Monday to Friday
28 days annual leave (8 bank holidays + 20 days of your choice)
Key Responsibilities
Job Management & Scheduling
- Monitor and manage incoming work orders through Dwellant and other client portals.
- Review new instructions and allocate works accordingly.
- Create and maintain job files.
- Schedule engineers, surveyors, and contractors.
- Monitor outstanding jobs and ensure deadlines are met.
- Chase updates from site teams throughout the day.
- Ensure emergency works are prioritised and attended promptly.
Resident Liaison
- Contact leaseholders, tenants, and residents to arrange access appointments.
- Coordinate access for surveys, investigations, repairs, and inspections.
- Issue appointment confirmations and reminders.
- Handle resident enquiries professionally and efficiently.
- Maintain records of all communications.
Site Team Coordination
- Issue work instructions to engineers and site operatives.
- Send photographs, reports, specifications, and client instructions to site staff.
- Ensure operatives have all required information before attending site.
- Monitor progress of works throughout the day.
- Escalate issues to management where necessary.
Email & Client Management
- Manage multiple company email inboxes.
- Respond to client enquiries.
- Liaise with managing agents, surveyors, residents, suppliers, and contractors.
- Follow up on outstanding information and approvals.
- Maintain professional communication at all times.
Reports, Quotations & Invoicing
- Prepare job reports using photographs and site information provided by engineers.
- Compile quotations for construction and maintenance works.
- Raise invoices accurately and promptly.
- Upload reports and quotations to client portals.
- Maintain records of completed works.
- Assist with tender submissions and project documentation.
Administration Duties
- Maintain company databases and records.
- Update spreadsheets and job tracking systems.
- Organise photographs, reports, certificates, and completion documents.
- Assist with document preparation including RAMS, permits, notices, and compliance paperwork.
- Ensure all files are stored correctly and can be retrieved easily.
