Job Overview
We are seeking a highly organised and proactive Paediatric Secretary to provide essential administrative support within a busy paediatric department. The successful candidate will play a vital role in ensuring smooth communication, efficient appointment scheduling, and effective management of patient records, all while maintaining a professional and compassionate approach to patient care.
Responsibilities
- Manage appointment bookings for paediatric clinics, ensuring accurate scheduling and timely updates.
- Handle incoming calls and correspondence with professionalism, providing information and support to patients and healthcare staff.
- Maintain and update patient records accurately in accordance with data protection regulations.
- Coordinate with medical staff to facilitate referrals, test results, and other departmental communications.
- Support the preparation of clinic documentation, reports, and administrative paperwork as required.
- Assist with general administrative duties such as filing, photocopying, and managing office supplies.
- Ensure the department operates efficiently by prioritizing tasks and managing multiple responsibilities effectively.
Requirements
- Proven office experience with strong administrative skills in a healthcare or similar environment.
- Previous experience working as a secretary or administrative assistant within a clinical setting is desirable.
- Excellent organisational skills with keen attention to detail to manage complex schedules and records.
- Strong communication skills, both written and verbal, to liaise effectively with patients, families, and healthcare professionals.
- Ability to handle sensitive information discreetly while adhering to confidentiality protocols.
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, Outlook).
- A compassionate attitude combined with a proactive approach to problem-solving is essential for success in this role.
