Events Administrator

Hambledon is a 220-acre Hampshire wine estate, the Birthplace of English wine, located in the South Downs National Park. In 2023, it was purchased by British-owned and multi-generational businesses, Symington Family Estates and Berry Bros. & Rudd.
Taking our founder’s and new owners’ pioneering spirit, our vision is to create the finest English sparkling wine that earns a deserved place in the hearts of consumers alongside the world’s most prestigious champagne houses.
The Role
We are looking for a highly organised and personable Events Administrator to support our Event Sales Manager and wider events team.
This is an ideal role for someone who enjoys being the person who keeps everything on track. You will provide essential administration across the event journey, from responding to initial enquiries and preparing paperwork through to updating booking systems, creating event documents and supporting communications with clients and internal teams.
You will play a key part in ensuring every event is well organised behind the scenes and that clients receive a warm, professional experience from their first enquiry onwards.
Key Responsibilities
- Support the Event Sales Manager and Events Coordinator with day-to-day event administration.
- Respond to event enquiries promptly and professionally, escalating leads where appropriate.
- Maintain accurate event records, calendars, booking systems and client files.
- Prepare contracts, invoices, proposals, function sheets, guest lists and event paperwork.
- Track deposits, payments, final numbers, dietary requirements and key event deadlines.
- Coordinate internal communications and circulate event information to relevant teams.
- Support client meetings, site visits and tasting appointments, including preparing materials and follow-up notes.
- Assist with supplier administration, purchase orders and event-related documentation.
- Help prepare weekly event updates and operational handovers.
- Provide on-the-day support for selected events when required.
- Contribute ideas to make processes clearer, more efficient and easier for teams to use.
About You
You will be detail-focused, efficient and comfortable managing several tasks at once. You will enjoy working with people but also take real satisfaction from getting the administration right.
This role would suit someone with experience in administration, hospitality, events, sales support, customer service or office coordination who wants to build a career in events.
What We’re Looking For
- Excellent organisation and attention to detail.
- Previous experience in Marketing is preferable
- Strong written communication and a friendly telephone manner.
- Confidence using Microsoft Office, particularly Outlook, Word and Excel.
- Ability to prioritise work, meet deadlines and keep accurate records.
- A proactive, positive and practical approach.
- Experience in administration, hospitality, events or customer-facing work is desirable.
- Flexibility to support evening and weekends.
- A full driving licence would be helpful due to our rural location.
