Tozers' growing Wealth Management Team is looking for an Assistant to join our Trusts, Tax & Succession team in Exeter.
This role offers the opportunity to work closely with a Partner, an Associate Solicitor and a Paralegal who act for high-net-worth individuals, families, business owners and entrepreneurs. Many of the clients we advise are longstanding clients of the firm and value the personal, attentive and supportive service that we provide.
The team advises on a wide range of private client matters including Wills, inheritance tax planning, trusts, succession planning, estate administration and later life planning. We also have a particular focus on advising business owners, including owners of park businesses and family-owned enterprises.
This is a varied and rewarding role for someone who enjoys working closely with people, building trusted relationships and helping clients through important life events and decisions. The successful candidate will become an integral part of a supportive team that prides itself on exceptional client care and professional excellence.
What you’ll be doing
We are looking for an Assistant who will play a central role in supporting the team and helping us deliver an outstanding service to our clients.
You will work particularly closely with three fee earners, helping them manage busy and varied workloads while ensuring our clients receive a responsive, professional and reassuring service. You will also be part of the wider Wealth Management Team within Tozers.
Your responsibilities will include:
- Managing diaries, appointments, meetings and commitments for the lawyers you support.
- Acting as a first point of contact for clients by telephone and email, providing a warm, confident and professional service.
- Liaising with clients, accountants, financial advisers, agents and other professional contacts under direction.
- Monitoring email inboxes, identifying urgent matters and, where appropriate, preparing draft responses for review by the lawyers in the team.
- Preparing correspondence, legal documents and client communications for review by lawyers from audio dictation and other instructions.
- Proofreading documents and correspondence prepared by the lawyers in your team.
- Supporting client meetings, including arranging appointments, preparing papers and producing attendance notes.
- Managing document storage and retrieval, payment requests and other administrative processes to include scanning and storing incoming correspondence.
- Helping to ensure matters progress smoothly by monitoring action points and following up outstanding items with clients and third parties.
This is a role where initiative, organisation and excellent client service are highly valued, and where you will quickly become a trusted part of the team's day-to-day operation.
What we’re looking for
We are seeking someone who enjoys working with people and takes pride in providing excellent client service.
Our clients are often dealing with significant personal, family or business matters, and they value calm, clear and reassuring communication. We are therefore looking for someone who is confident speaking with clients, able to build rapport quickly and capable of dealing sensitively with a wide range of situations.
You may already work in a legal environment, but we would also welcome applications from candidates with experience in client-facing service roles such as estate agency, financial services, private banking, accountancy, healthcare, hospitality or other professional services.
The successful candidate will:
- Be highly organised and able to manage competing priorities.
- Enjoy supporting professionals with demanding workloads.
- Have excellent written and verbal communication skills.
- Take pride in providing exceptional client care.
- Be proactive, dependable and willing to take ownership of tasks.
- Enjoy working collaboratively within a close-knit team.
- Demonstrate professionalism, discretion and sensitivity when handling confidential information.
Above all, we are looking for somebody who will become a trusted point of contact for our clients and a valued member of the wider Wealth Management team.
What you’ll have
You will have experience in a role involving client contact, organisation and administration, together with a genuine commitment to delivering excellent service.
Previous legal experience would be advantageous but is not essential. More importantly, we are interested in candidates who can demonstrate strong organisational skills, excellent communication and the confidence to deal professionally with clients and colleagues.
You will be able to demonstrate:
- Experience managing multiple tasks and deadlines in a busy environment.
- Strong diary management and administrative skills.
- Excellent attention to detail and a high standard of written communication.
- Confidence speaking with clients both by telephone and in person.
- The ability to remain calm, professional and reassuring when dealing with sensitive situations.
- Good judgement and the confidence to use your initiative appropriately.
- Strong IT skills and the ability to learn new systems quickly.
- A positive, flexible and collaborative approach to work.
Experience of supporting lawyers, professional advisers or senior managers would be beneficial, as would previous exposure to private client work, estate administration or wealth management services, although full training will be provided.
