Overview
Data Direct is seeking a highly organised and detail-focused Logistics & Procurement Administrator to support our purchasing, supply chain, and logistics operations. This is a fast-paced role requiring strong coordination across suppliers, forwarders, warehouse teams, and internal stakeholders.
Key Responsibilities
Procurement & Purchasing
- Raise and manage purchase orders using Sage
- Monitor supplier confirmations and update orders with accurate information
- Liaise with suppliers on pricing, stock availability, and delivery timelines
- Support product setup, including creation and maintenance of product codes
- Assist with purchase order allocations and updates
Logistics & Shipping Coordination
- Coordinate air and sea freight shipments with international suppliers
- Obtain and evaluate freight quotes (RFQs) and select forwarders
- Manage shipping documentation and customs clearance requirements
- Maintain and update shipping logs, including ETA/ETD tracking
- Track deliveries via carriers such as FedEx, UPS, DHL, and TNT
- Update internal systems with shipment and logistics data
Data & Systems Management
- Maintain accurate records in Sage and internal shipping logs
- Update ETA schedules and ensure system alignment with supplier updates
- Manage back-order lists and delivery schedules
- Ensure all documentation is filed correctly and compliant
Stakeholder Coordination
- Work closely with warehouse teams on deliveries, queries, and discrepancies
- Support sales teams with enquiries on pricing, stock, and ETAs
- Liaise with finance for invoice processing and payment coordination
- Communicate with freight forwarders, brokers, and suppliers
- Assist with export/import documentation and customs documentation
General Administration
- Book in deliveries and maintain warehouse calendars
- Raise courier collections and manage delivery schedules
- Handle ad hoc logistics, purchasing, and admin tasks as required
- Support ongoing process efficiency and data accuracy
Skills & Experience
- Previous experience in procurement, logistics, or supply chain administration
- Strong working knowledge of ERP systems (Sage preferred)
- Excellent attention to detail and data accuracy
- Ability to manage multiple tasks and priorities in a fast-paced environment
- Strong communication and coordination skills
- Proficiency in Microsoft Office, particularly Excel
