Job Title: Bookkeeper / Sales Administrator
Location: Longforgan, By Dundee – On-site
Job Type: Part-time – 9:30 to 14:00 Monday to Friday.

Position Overview
We are seeking a detail-oriented Bookkeeper who will also have some sales administration responsibilities to join our core internal team. Working directly alongside our Sales Coordinator, Warehouse Coordinator and Directors, you will be the key link managing data and order tracking between customer accounts, supplier accounts and our finances.
Key Responsibilities
Basic Bookkeeping & Stock Accounts:
- System Reconciliation: Ensure daily sales and inventory data flow accurately from Unleashed into Xero, reconciling bank entries and customer payments.
- Supplier Invoices: Work with the Warehouse Coordinator to match physical delivery notes against supplier invoices before logging them into Xero.
- Credit Control: Monitor outstanding customer balances and handle polite, professional follow-ups on overdue accounts.
- Expenses: Manage the expense account and reconcile within Xero.
Sales & Team Administration:
- Order Processing: Support the Sales Coordinator by using Unleashed to process sales orders, generate quotes, and update customer files.
- Customer Service: Act as a professional, friendly point of contact for customer inquiries via phone and email.
- Office Support: Handle general administrative tasks, including digital filing, mail, and ordering office supplies.
Experience and Skills
Required:
- Software Experience: Practical experience with Xero and/or a cloud-based inventory system would be advantageous.
- Team Collaboration: Proven ability to work closely and communicate effectively within a small, fast-moving office team.
- Attention to Detail: High accuracy in data entry—ensuring numbers match perfectly across stock receipts, sales orders, and financial ledgers.
- Organisation: Excellent time management and the ability to prioritise daily tasks.
Desirable:
- An introductory accounting/bookkeeping qualification.
- Experience working in a trade supply, distribution, or logistics environment.
