Salary: £26,000 per annum + on-call payments

Due to continued growth, we are seeking an organised, proactive and customer-focused Maintenance Coordinator to join our close-knit team.
Purpose of the Role
The Maintenance Coordinator is responsible for managing maintenance works from initial client instruction through to completion.
The successful candidate will coordinate engineers and subcontractors, liaise with clients, monitor job progress and ensure service levels are achieved whilst maintaining excellent customer communication throughout.
Key Responsibilities
- Receive and process reactive maintenance requests from clients.
- Allocate works to engineers and subcontractors nationwide.
- Schedule appointments and ensure attendance within agreed timescales.
- Monitor job progress from instruction through to completion.
- Chase outstanding updates, reports, photographs and quotations.
- Ensure jobs are completed in accordance with client requirements and service level agreements.
Client Communication
- Act as a key point of contact for clients.
- Provide regular updates regarding ongoing works.
- Respond to client queries promptly and professionally.
- Build strong relationships with clients and suppliers.
Contractor Management
- Coordinate engineers, subcontractors and suppliers nationwide.
- Obtain and review quotations for remedial works.
- Verify attendance reports and supporting documentation.
- Ensure compliance records and photographs are received promptly.
Administration
- Maintain accurate records within company systems.
- Process quotations, reports and completion documentation.
- Assist with invoicing and job closure procedures.
- Produce reports and updates for management as required.
Out-of-Hours Support
- Participate in the on-call rota on a rotational basis.
- Coordinate emergency works outside standard office hours when required.
- Additional payments are made for participation in the on-call rota.
Skills & Experience Required
Essential
- Excellent organisational skills.
- Strong communication and customer service abilities.
- Ability to manage multiple jobs and priorities simultaneously.
- Good IT skills including Microsoft Office.
- Strong attention to detail.
- Ability to work under pressure in a fast-paced environment.
- Professional telephone manner.
Desirable
- Experience within facilities management, construction, scheduling or maintenance coordination.
- Experience using CAFM or job management software.
- Knowledge of reactive maintenance environments.

Working Hours
Monday to Friday
8:30am – 4:30pm
37.5 hours per week
Additional participation in the out-of-hours on-call rota is mandatory and paid separately.
Holiday Entitlement
- 20 days annual leave per holiday year plus statutory bank holidays.
- The business closes between Christmas and New Year, and employees are required to reserve sufficient annual leave entitlement to cover this period.
