Teqniq is searching for a Interim Facilities Lead to work in the public sector.
Job Description:
· Manage the day-to-day operations of buildings and facilities.
· Ensure compliance with health, safety, environmental and statutory regulations.
· Oversee planned preventative maintenance and reactive repairs.
· Manage the FM team, contractors, suppliers and service providers to ensure quality and value for money.
· Monitor building systems
· Represent the service area for risk management, be point of contact for Operational Estate activities.
· Manage and set agreed budgets for income and expenditure in accordance with the Authority’s Financial Regulations and Standing orders and assist the line manager in the preparation and monitoring of budgets for the services provided.
· Prepare, agree, monitor and review, in conjunction with the Portfolio Manager Corporate Estates all service level agreements and pricing structures for the delivery of services to new and existing customers,
· Management of the FM inbox- acknowledging, reporting, planning and ensuring rectifications of issues reported.
· Oversee the completion of orders and raise invoices as required to maintain service.
· Ensure Operational Estate assets are in order, fit for purpose and maintained.
· Manage the on-site contracts, including building and window cleaning and waste management.
· Contractor communication, allocation of works, engagement and accountability for Operational Estate works.
· Regularly undertake service reviews to maximise operational efficiencies, working collaboratively across service areas.
· Liaise with clients and other stakeholders.
· Responsible for procurement of all FM service contracts, including contract management, negotiation, reviewing and holding contractors to KPI’s.
· Manage and review the development of the Facilities Management Support Team.
· Managing contract performance in line with service level agreements and key performance indicators
· To ensure strategic planning and prioritisation of service demands
· Ensure compliance with statutory regulations relating to safe systems at work, health and hygiene, cleanliness, fire and COSHH
· To respond to urgent requests and concerns with professionalism and a focus on solution-based decision making
· Ensure full compliance with health and safety, fire safety, water hygiene, safeguarding, and emergency procedures, maintaining accurate logs, records and incident reporting, and support the associated maintenance and supplies/equipment related to these areas across the operational estate.
· Manage a team that will oversee planned and reactive maintenance, undertake compliance activities and office and equipment moves across the operational estate.
· Maintain compliance documentation, risk registers and facility management records, report on building conditions and contribute to the development of standard operating procedures.
· Present monthly compliance reports to the Portfolio Manager Corporate Assets, flagging risks and solutions.
· Coordinate space planning, office moves, and workplace improvements.
· Lead emergency procedures, business continuity and incident response activities.
