Pictons Solicitors are seeking a professional, organised and personable Receptionist to provide a high standard of telephone support across our three offices. This role can be based at any one of our three offices.
The Receptionist will often be the first point of contact for our clients, prospective clients and will therefore play an important role in representing the firm.
The successful candidate will be confident in dealing with a busy telephone environment, able to communicate professionally and sensitively, and comfortable supporting different departments with a variety of administrative duties.
The successful candidate must always maintain strict confidentiality and handle all client and matter related information with appropriate discretion. They will be required to comply with the firm’s data protection and UK GDPR procedures, particularly when handling personal or sensitive information by telephone, email, post or in person.
Responsibilities
- Manage incoming telephone calls for all three offices, ensuring calls are answered promptly.
- Identify the nature of enquiries and direct calls and messages to the appropriate person / department.
- Take accurate and detailed telephone messages where required and ensure the message is passed on promptly.
- Welcome clients and visitors to the office and provide a professional and friendly reception service.
- Handle client enquiries appropriately while recognising when a matter must be referred to a solicitor or other authorised member of staff.
- Manage incoming and outgoing post, including sorting distributing and preparing correspondence for collection or posting.
- Assist the departments across the firm with ad hoc administrative duties as required.
- Support with scanning, photocopying, filing, document preparation and general office administration.
- Assist with archiving responsibilities
- Manage the firms shared email mailbox and forward emails as appropriate.
- Ordering supplies for the offices including stationary.
Qualifications
- Excellent telephone manner and strong verbal communication skills
- A professional, friendly and confident approach when dealing with clients.
- Strong organisational and administrative skills.
- The ability to manage calls for all three offices and prioritise completing tasks.
- Excellent attention to detail, particularly when recording names, telephone numbers and messages.
- Good IT skills and confidence using Microsoft Office, Outlook and other office systems.
- The ability to work independently while also supporting colleagues across multiple departments.
- A calm and professional manner when dealing with clients who may be upset, anxious or dealing with difficult circumstances.
- Previous reception, switchboard customer service or administrative experience. Experience within a law firm or other professional services environment would be advantageous but not essential.
Salary is dependent on experience.
Pay: From £25,800.00 per year
