Ventilation Contracts Manager

Operations Director / Contracts Director
Job Purpose
The Ventilation Contracts Manager is responsible for the successful planning, coordination, delivery, and financial management of ventilation projects from contract award through to completion. The role involves overseeing installation teams, subcontractors, suppliers, and client relationships while ensuring projects are delivered safely, on time, within budget, and to the required quality standards.
Key Responsibilities
- Manage multiple ventilation and ductwork contracts simultaneously.
- Review contract specifications, drawings, and project requirements.
- Ensure contractual obligations are met throughout the project lifecycle.
- Monitor project progress and implement corrective actions where necessary.
- Manage project variations, extensions of time, and contractual correspondence.
Project Delivery
- Plan and coordinate labour, materials, plant, and subcontractor resources.
- Develop and maintain project programmes and schedules.
- Attend site meetings and provide progress updates to clients and stakeholders.
- Ensure projects are completed within agreed timescales and budgets.
- Coordinate commissioning, testing, and handover activities.
Financial Management
- Prepare project budgets and monitor financial performance.
- Track costs, labour allocation, and material expenditure.
- Prepare and submit valuations, applications for payment, and final accounts.
- Identify opportunities to improve profitability and operational efficiency.
- Manage project cash flow and forecasting.
Health, Safety & Compliance
- Promote a strong health and safety culture across all projects.
- Ensure compliance with relevant legislation, regulations, and company procedures.
- Review and approve Risk Assessments and Method Statements (RAMS).
- Conduct site inspections and audits to ensure safe working practices.
- Investigate incidents and implement corrective actions where required.
Team Leadership
- Manage and support site supervisors, engineers, and installation teams.
- Coordinate subcontractors and specialist suppliers.
- Conduct performance reviews and provide coaching and development.
- Assist with recruitment and workforce planning.
- Foster a positive and collaborative working environment.
Client & Stakeholder Management
- Build and maintain strong relationships with clients, consultants, and main contractors.
- Act as the primary point of contact throughout project delivery.
- Attend client meetings and resolve issues promptly and professionally.
- Identify opportunities for repeat business and contract growth.
Quality Assurance
- Ensure all works are completed in accordance with project specifications and industry standards.
- Monitor quality control processes and documentation.
- Coordinate snagging, defect resolution, and project close-out activities.
- Ensure accurate project records and documentation are maintained.
Skills & Experience Essential
- Proven experience managing ventilation, ductwork, HVAC, or mechanical services contracts.
- Strong understanding of ventilation systems, ductwork installation, and commissioning processes.
- Experience managing multiple projects and teams simultaneously.
- Excellent commercial awareness and budget management skills.
- Strong negotiation and client management abilities.
- Proficient in Microsoft Office and project management software.
- Excellent communication, organisational, and leadership skills.
- Full and Clean UK driving licence.
Desirable
- HNC/HND or degree in Mechanical Engineering, Building Services, Construction Management, or a related discipline.
- SMSTS certification.
- CSCS Manager Card.
