About the Role
Donrich Books and Digital Publishing UK Ltd is looking for an organised, detail-focused and collaborative Editorial Project Coordinator to support the delivery of print and digital publishing projects from manuscript submission through production and release.
The successful candidate will coordinate authors, editors, proofreaders, designers, illustrators, typesetters, printers and distribution partners. They will maintain publishing schedules, track approvals, manage documentation and help ensure that every title is delivered accurately, on time and in line with agreed editorial and production standards.
This role is suitable for a publishing professional with practical experience in editorial administration, book production, content coordination or project support who is ready to take greater ownership of publishing workflows.
Key Responsibilities
- Coordinate publishing projects from manuscript receipt to final release
- Create and maintain detailed editorial and production schedules
- Track deadlines, approvals, deliverables and project dependencies
- Liaise with authors regarding submissions, revisions and approvals
- Coordinate editors, proofreaders, designers and external contributors
- Organise manuscript files, artwork, contracts and supporting materials
- Check that submitted content meets internal requirements
- Support the preparation of manuscripts for editing and production
- Track editorial changes and maintain version control
- Coordinate copyediting, proofreading and author-review stages
- Record corrections and ensure they are implemented accurately
- Prepare project briefs for designers and production suppliers
- Coordinate cover design, typesetting and interior layout
- Review proofs for formatting, consistency and completeness
- Arrange approval of covers, layouts and final files
- Support the production of print, e-book and digital editions
- Coordinate ISBN, barcode and publication metadata requirements
- Maintain accurate title information across internal systems
- Prepare product descriptions, contributor biographies and book summaries
- Support the upload of title data to retailers and distributors
- Liaise with printers regarding quotations, specifications and schedules
- Monitor print-production timelines and delivery dates
- Coordinate advance copies, review copies and author copies
- Support book launches, promotional campaigns and publication events
- Work with marketing teams on release schedules and content requirements
- Maintain calendars for forthcoming titles and publication milestones
- Prepare regular project-status updates for managers and stakeholders
- Identify risks, delays and missing information
- Escalate issues and support the development of recovery plans
- Organise editorial meetings and circulate notes and actions
- Maintain project trackers, checklists and publishing records
- Process supplier information and support purchase-order administration
- Assist with invoice checking and project-cost tracking
- Support rights, permissions and image-clearance activities
- Maintain confidentiality when handling unpublished manuscripts
- Ensure projects follow editorial and quality-control procedures
- Contribute to improvements in publishing workflows
- Manage several titles and deadlines simultaneously
Qualifications and Experience
- Degree or professional qualification in Publishing, English, Journalism, Communications, Creative Writing or a related subject
- At least two years of experience in publishing, editorial administration or content production
- Experience coordinating projects with multiple contributors
- Familiarity with manuscript, editing and proofreading processes
- Strong written English and copy-checking skills
- Excellent attention to detail
- Ability to manage deadlines and changing priorities
- Strong organisational and record-management skills
- Experience maintaining schedules, trackers and project documentation
- Ability to communicate professionally with authors and suppliers
- Confidence working with sensitive and unpublished material
- Good knowledge of Microsoft Word, Excel, Outlook and PowerPoint
- Familiarity with shared drives and collaborative working tools
- Ability to review files for consistency and completeness
- Strong problem-solving and follow-up skills
- Ability to work independently and as part of a publishing team
- Good numerical skills for basic cost and invoice checks
- Strong stakeholder-management and communication skills
- Right to work in the United Kingdom
Preferred Experience
- Experience working for a publisher, literary agency or editorial-services company
- Familiarity with Adobe InDesign, Acrobat or Creative Cloud
- Knowledge of print-production and typesetting processes
- Experience coordinating e-book production
- Familiarity with EPUB, PDF and other digital publishing formats
- Knowledge of ISBN registration and book metadata
- Experience using publishing-management or title-management systems
- Familiarity with Nielsen BookData or retailer metadata platforms
- Experience supporting rights and permissions processes
- Knowledge of image licensing and copyright requirements
- Familiarity with print-on-demand services
- Experience working with freelance editors, designers or illustrators
- Knowledge of Amazon Kindle Direct Publishing or similar platforms
- Experience supporting book launches and author events
- Familiarity with project-management tools such as Asana, Trello or Monday.com
Pay: £27,000.00-£37,000.00 per year
