Montis Landscapes is looking for a highly organised, proactive Sales & Operations Administrator to support the day-to-day running of our sales process and wider business administration.
This is much more than a traditional admin role. Your main priority will be to take ownership of our sales administration process from the moment a new enquiry comes in, through to appointments, quotes, follow-up, agreements and handover.
You’ll work closely with Dan (Director) and the wider team, making sure customers receive a responsive and professional experience while helping free up Dan’s time to focus on quoting, project management and delivering great landscaping projects.
The role can primarily be worked remotely, but we are looking for someone based locally to Leicestershire who can attend occasional in-person meetings and team catch-ups when required.
Key responsibilities
- Responding to new website, telephone and email enquiries
- Calling new leads to understand their requirements and help progress them
- Adding and maintaining opportunities within Pipedrive CRM
- Ensuring every active opportunity has a clear next step
- Booking quoting visits efficiently into Dan’s diary
- Following up quotations by phone and email until we receive a clear outcome
- Answering incoming calls when Dan is unavailable
- Keeping customers updated throughout the sales process
- Sending agreements and relevant documentation
- Liaising with our finance team regarding deposits and invoicing
- Recording customer conversations, notes and actions accurately
- Supporting Dan with diary and general administration
- Preparing draft quotations from Dan’s notes as the role develops
- Supporting with materials ordering, suppliers and other operational administration
- Re-engaging historic enquiries and outstanding opportunities
- Helping identify opportunities to improve customer communication and internal processes
As you become more familiar with the business, there will be scope to take on additional responsibility across sales support, customer communication, supplier coordination and quoting.
What success looks like
We are looking for someone who takes ownership and keeps things moving.
- New leads contacted promptly during working hours
- Active deals kept fully up to date in Pipedrive
- No active opportunity left without a clear next activity
- Quotes followed up consistently within agreed timescales
- Reduced number of opportunities lost through lack of follow-up
- Improved quote-to-sale conversion
- Dan’s diary kept organised and efficient
- Customer enquiries responded to quickly and professionally
- Agreements and finance handovers completed without unnecessary delays
- Minimal overdue sales activities
- Historic opportunities proactively revisited where appropriate
This is not a traditional commission-only sales role, but you will play an important part in helping Montis convert enquiries into paying customers. Because of that, we want you to share in the success you help create.
The role will include:
- A performance-related bonus linked to key sales administration and pipeline KPIs
- Additional incentives for helping reactivate dormant opportunities that go on to become confirmed projects
- The opportunity to increase earning potential as the role develops and you take on more commercial responsibility
The exact bonus structure will be based around measurable outcomes such as lead response, quote follow-up, pipeline management and converted opportunities.
About you
You do not need landscaping experience, but you do need to be confident communicating with customers and taking responsibility for keeping things organised.
You will ideally be:
- Highly organised
- Confident and friendly on the phone
- Professional in your communication
- Comfortable following up customers
- Persistent without being pushy
- Proactive and able to work independently
- Good at prioritising tasks
- Confident using systems and technology
- Detail-focused
- Comfortable working remotely
- Able to communicate clearly with different members of the team
- Someone who naturally notices when something needs doing and takes ownership of it
- Experience using CRM software such as Pipedrive would be an advantage, although training can be provided.
- Previous experience in sales administration, customer service, office administration, construction, trades or another service-based business would also be beneficial.
What we offer
- £15–£17 per hour, depending on experience
- Approximately 25 hours per week
- Monday to Friday working pattern
- Ideally around 10am–3pm
- Performance-related bonus
- Additional incentives for reactivated and converted opportunities
- Remote working
- Company laptop
- Company mobile phone
- Training and ongoing support
- Opportunity for the role and responsibilities to grow
- Varied responsibilities across sales, customer service and operations
- Occasional in-person meetings and team catch-ups
- A role where you can genuinely influence how the business operates and grows
Why this role matters
This isn’t just an admin position.
You’ll become the person making sure every enquiry is properly followed up, every quote is progressed, every customer knows what is happening next and opportunities don’t get lost because someone forgot to make a call.
You’ll also play an important part in freeing up Dan and the wider team to focus on the areas where they add the most value.
As the role develops, we’d like you to become increasingly involved in quote preparation, supplier coordination, customer communication, reactivating old opportunities and identifying ways we can improve how Montis operates.
If you’re someone who enjoys taking ownership, keeping things organised and seeing the impact of your work, we’d love to hear from you.
Pay: £15.00-£17.00 per hour
