Executive Assistant & Corporate Administrator
Cheshunt - Office Based Role
£40,000 - £45,000 DOE
We are looking to expand our team by adding an Executive Assistant to support the SLT team here at Sustain Commercial Solar. The Executive Assistant will provide comprehensive administrative, organisational, and corporate support to the CEO and two key Directors. The role requires exceptional organisational skills, discretion, and the ability to manage multiple priorities in a fast-paced, high-level commercial environment.
In addition to traditional executive support, this role is critical in managing the company's statutory books, overseeing basic company secretarial duties, and assisting with the administrative heavy-lifting of corporate transactions, legal documents, and joint ventures.
Key Responsibilities
Company Secretarial & Corporate Governance (Statutory Books)
- Take ownership of and maintain the company's statutory books and registers (registers of members, directors, etc.) across the group structure.
- Manage all routine Companies House filings (Confirmation Statements, director appointments/resignations, share allotments).
- Draft, format, and securely file routine board minutes, written resolutions, and shareholder notices.
- Track and monitor key compliance, governance, and reporting deadlines across various SPVs and subsidiary companies.
Corporate & Transaction Support
- Assist the Executive team in managing complex legal and corporate documents (e.g., SPAs, SHAs, facility agreements).
- Maintain rigorous version control of commercial contracts and legal drafts.
- Coordinate the execution of legal documents, including setting up DocuSign envelopes and arranging wet-ink/cross-border signatures and witnessing.
- Liaise effectively with external legal counsel, investors, and international joint venture partners.
Executive Support
- Manage complex diaries and schedules for the CEO and two Directors.
- Arrange meetings, appointments, and conference calls across multiple time zones.
- Organise domestic and international travel arrangements.
- Attend board and executive meetings to take accurate, high-level minutes.
- Screen and prioritise incoming communications, acting as a professional first point of contact.
Administrative & Project Duties
- Prepare reports, letters, briefing documents, and presentations.
- Maintain accurate, highly organised digital filing systems and data rooms.
- Monitor deadlines and proactively follow up on outstanding actions from the Executive team.
- Support logistics and execution for company events, meetings, and conferences.
Personal Assistance
- Assist with personal appointments, travel, and scheduling for the Executives where required.
- Support with ad hoc personal tasks to ensure the Executives' time is freed up for high-level business priorities.
Skills and Experience
Essential
- Previous experience as an Executive Assistant supporting a senior management team.
- Demonstrable experience handling Company Secretarial duties (managing statutory books, Companies House filings, board minutes).
- High level of commercial acumen and comfort handling legal/corporate documents.
- Excellent organisational and time-management skills with a rigorous attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document execution software (e.g., DocuSign).
- Professional, confident manner with the ability to maintain strict confidentiality.
Desirable
- Previous experience in a Legal EA, Corporate EA, or CoSec Assistant role.
- Experience within the renewable energy, construction, or corporate finance sectors.
- Experience managing data rooms or assisting with M&A / Joint Venture administration.
