Job Summary
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will be responsible for managing daily administrative tasks, ensuring smooth office operations, and providing exceptional support to staff and clients. Duties
- Manage incoming calls with professional phone etiquette and direct enquiries appropriately
- Maintain and update office records, files, and databases with accuracy and confidentiality
- Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks software
- Organise meetings, appointments, and travel arrangements for staff members
- Prepare correspondence, reports, and presentations as required
- Assist with invoicing, billing, and other financial documentation using QuickBooks
- Support the procurement of office supplies and equipment
- Coordinate with external vendors and service providers to ensure operational efficiency
- Handle mail distribution and courier arrangements
- Support team members with administrative tasks to enhance overall productivity
Requirements
- Proven office experience or administrative background
- Previous experience in using accountancy software xero/quick books etc
- previous knowledge/experience working within a construction trades based business advantageous
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and QuickBooks
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and data entry accuracy
- Demonstrated clerical experience with attention to detail
- Exceptional phone etiquette and communication skills
- Ability to work independently as well as part of a team in a fast-paced environment
- Familiarity with office equipment such as printers, scanners, and telephony systems
- Strong organisational skills combined with the ability to manage multiple tasks simultaneously
