Job Summary
ARK Group Services has been delivering property compliance and maintenance since 1999. We complete over 9,000 jobs a year — electrical, gas, plumbing, damp and energy efficiency — for around 60 letting agent clients across Surrey and the home counties.
We're hiring an Operations Coordinator to sit at the centre of that operation. This is the role that turns a client instruction into a scheduled, priced, completed and invoiced job. If you've coordinated engineers in a trades or maintenance business and want more ownership than a pure scheduling role gives you, this is a step up.
What you'll be doing
- Building and optimising the diaries for our engineering teams across multiple trades, balancing geography, skills and job duration to keep the day running efficiently
- Managing our remote booking team, setting daily priorities and keeping client response times on track
- Building quotations from engineer reports and site findings, sourcing materials pricing from suppliers, and following quotes through to approval
- Acting as the day-to-day contact for our letting agent clients — updates, access issues, escalations
- Allocating labour time to jobs so our costing stays accurate, and raising invoices on completion
- Working with our QS on measured works and variations
- Handling the live disruption: overruns, no-access, emergencies and sickness
What we're looking for
- Experience coordinating, scheduling or managing operations in plumbing, electrical, gas, HVAC, property maintenance or facilities management
- Commercial awareness — you can put a quote together and spot when a job isn't priced right
- Confident dealing with clients and engineers alike, and comfortable holding your ground with both
- Genuinely organised, and calm when the phone doesn't stop
- Someone who fixes the process rather than firefighting the same problem every week
Nice to have
- Experience supervising a team, particularly a remote one
- ServiceM8 and Xero
- Knowledge of residential compliance — EICRs, gas safety certificates, EPCs, damp and mould
- A trade background — time-served electricians, plumbers and gas engineers who've moved into an office role do very well in this seat
- Experience of the lettings and property management world
