About us
Castle Nursery & Pre-School has been caring for children in Surrey since 1995. Guardian House in Godalming is our newest setting, opened in early 2026 following a comprehensive refurbishment. It is a bright, modern nursery with five purpose-built rooms, thoughtfully designed child-friendly interiors and upgraded outdoor play areas, including age-zoned garden spaces and an allotment where the children grow fruit and vegetables that our on-site cook then turns into their meals.
We are ideally placed for local families, close to Godalming High Street, just 100 yards from the train station, and with a large on-site car park.
As a new setting, this is a genuine opportunity to help shape how things run from the ground up rather than inherit someone else's systems.
About the role
We are looking for an organised, warm and capable Nursery Administrator to be the operational heartbeat of Guardian House. You will be the first face and first voice families meet, keep our records and systems accurate and audit-ready, and take ownership of the nursery's social media so that local families can see what makes us different.
We are flexible on hours. We are looking for someone around 3 days a week, and we can agree days and start and finish times to suit you and the nursery, including school-friendly hours.
What you will be doing
Front of house and family support
- Being the first point of contact for parents, visitors, calls and enquiries
- Managing show-rounds, tours and the enquiry pipeline, and following up with prospective families
- Supporting the onboarding of new starters, from registration forms to first-day paperwork
Nursery administration
- Keeping registers, attendance records, waiting lists and occupancy data accurate and up to date
- Maintaining child and staff records, including safeguarding and compliance documentation
- Raising and processing invoices, chasing outstanding fees and supporting funding claims
- Ordering supplies, liaising with contractors and suppliers, and supporting site logistics
- Preparing documents, correspondence and reports for the Nursery Manager and central team
- Keeping health, safety and compliance records organised and inspection-ready
Social media and marketing
- Owning the nursery's social media channels, primarily Facebook and Instagram
- Planning and posting regular content: photos, updates, celebrations, allotment progress, seasonal activities and team news
- Responding to comments and messages promptly and warmly
- Working with the Nursery Manager to promote open days, vacancies and events, always within our photo consent and safeguarding rules
What we are looking for
- Solid administrative or office experience, with real attention to detail
- Confident with Microsoft Office and Google Workspace; experience of finance or accounting software such as QuickBooks is useful
- Comfortable creating social media content, with a good eye for a photo and a friendly, natural written tone
- Warm, professional telephone manner and clear written communication
- Able to juggle competing priorities calmly in a busy setting and prioritise sensibly
- Discreet and trustworthy with confidential information
- Administrative experience in a childcare, school or education setting is helpful but not essential; we will train the right person
