We are now seeking an Operations Coordinator to join our busy creative studio. Reporting to the Operations Manager, you'll play a central role in coordinating workflows, supporting clients and ensuring projects are delivered efficiently, accurately and on time. What you’ll do:
- Act as the first point of contact for clients, managing enquiries, onboarding activities and day-to-day communication to ensure excellent customer service and delivery against agreed SLAs.
- Manage the upload and download of client files, ensuring accurate spreadsheet and data management.
- Use Microsoft Excel to create and maintain spreadsheets, apply formulas, and interpret data.
- Support the Production team when required, including coordinating deliveries, managing courier collections and arranging outgoing post.
- Provide day-to-day support to the Operations Manager, prepare reports, manage data, provide administrative support and assist in the delivery of operational objectives.
- Manage the daily workflow across the studio, ensuring projects move efficiently through each department, remain on schedule, and that deadlines, SLAs and production targets are achieved by working closely with department leads and team members.
- Support the implementation of workload schedules developed by the Operations Manager, proactively responding to changing operational priorities and communicating daily workload updates and project priorities across the studio.
- Liaise with departmental teams to identify bottlenecks, resource constraints, delays, or risks and take appropriate action or escalate where necessary.
- Identify and promptly escalate operational risks or issues to the Operations Manager.
- Contribute to a positive, collaborative culture that reflects and supports company values.
What we’re looking for:
- Minimum of three years' experience in an operations, administration, project coordination, workflow or client support role.
- Exceptional organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Experience coordinating work across multiple teams and ensuring deadlines are met.
- Strong communication and interpersonal skills with the confidence to engage and challenge appropriately when priorities require adjustment.
- Advanced IT skills, particularly Microsoft Office, with experience using formulas, data analysis and reporting.
- Excellent attention to detail and ability to maintain accurate operational records.
- Proactive and solution-focused with the ability to identify issues before they become problems.
- Ability to remain calm and organised whilst managing changing priorities and competing deadlines.
- A proactive approach and ability to work effectively in a process-driven environment.
- Experience using scheduling, workflow, project management, or production management software would be advantageous.
- Understanding KPI, SLA, and quality-controlled working environments is desirable
Education:
- Bachelor’s degree or equivalent qualification preferred. Relevant qualifications or equivalent practical experience will be considered.
- GCSEs (or equivalent) in English and Mathematics at grade C/4 or above.
