We are seeking a highly organised Administration Assistant to join our team. Duties
- Manage incoming calls with professionalism, directing enquiries appropriately and taking accurate messages.
- Maintain organised filing systems, ensuring easy retrieval of documents.
- Perform data entry tasks with accuracy using Microsoft Office and in house systems.
- Assist in scheduling appointments, meetings, and maintaining calendars for engineers.
- Confirm attendance dates and expected arrival times of engineers with clients.
- Notify customers promptly of any delays or changes.
- Prepare correspondence and reports.
- Ensure the office environment remains tidy and well-maintained.
Essential
- Proven office experience or administrative background demonstrating organisational skills and attention to detail.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent phone etiquette and communication skills to interact professionally with clients and colleagues.
- Ability to work independently as well as part of a team, demonstrating initiative and reliability.
- Excellent organisational and time management skills.
- Strong IT skills with confidence using scheduling software, Microsoft Outlook, Excel and business management systems.
- Ability to learn and use company software.
- Excellent verbal and written communication skills.
- Ability to prioritise workloads and manage multiple tasks simultaneously.
