Property Administrator/ Receptionist
Full Time | Office Based
We're looking for an organised, enthusiastic and proactive Property Administrator to join our busy sales and lettings agency.
This is much more than a reception role. You'll be the first point of contact for our clients, applicants, landlords, tenants and contractors, while also providing essential administrative support to our sales and lettings teams.
We're looking for someone who naturally takes ownership of their work, spots opportunities, takes the initiative and is always looking for ways to improve processes and create a better experience for both our clients and colleagues.
About the Role
As the face of our business, you'll ensure every client receives a warm, professional and helpful experience, whether they visit our office, call us or contact us by email.
Alongside front-of-house responsibilities, you'll play a key role supporting our property managers and sales negotiators, helping to keep the office organised, appointments running smoothly and clients well informed throughout their property journey.
Key Responsibilities
- Greeting clients and visitors, providing a professional and welcoming first impression.
- Answering incoming telephone calls and directing enquiries appropriately.
- Managing and responding to general sales and lettings email enquiries.
- Supporting the sales and lettings teams with day-to-day administration.
- Coordinating diaries and booking appointments for colleagues.
- Booking property viewings both sales and lettings.
- Arranging property inspections and liaising with tenants to schedule appointments.
- Carrying out regular client experience check-ins.
- Assisting with general office administration to ensure the smooth running of the branch.
- Looking for opportunities to improve processes, increase efficiency and enhance the customer experience.
What We're Looking For
The right person will be someone who enjoys being organised, thrives in a fast-paced environment and genuinely enjoys helping people.
You'll be:
- Naturally proactive and self-motivated.
- Someone who takes ownership rather than waiting for instructions.
- Highly organised with excellent attention to detail.
- Confident managing multiple priorities and coordinating busy diaries.
- Friendly, approachable and professional at all times.
- Calm and composed when dealing with challenging or uncomfortable situations.
- A confident communicator with excellent verbal and written communication skills.
- Passionate about delivering outstanding customer service.
- Comfortable using IT systems and quick to learn new software.
- Keen to contribute ideas and continually improve the way we work.
Essential Skills
- Excellent customer service experience.
- Strong administration and organisational skills.
- Confident telephone manner.
- Excellent written communication and email etiquette.
- Strong IT skills, including Microsoft Office, with the ability to quickly learn new systems.
- Ability to prioritise workload and manage competing deadlines.
- Positive, can-do attitude with a willingness to support the wider team.
Why Join Us?
We're a supportive, ambitious team that's passionate about delivering exceptional service to our clients. We're looking for someone who brings fresh ideas, takes ownership of their work, and wants to make a real difference to how we grow and operate. In return, you'll receive a competitive salary and the opportunity to join a collaborative team where your ideas are valued, your contributions are recognised, and you can make a genuine impact from day one.
If you're someone who enjoys taking ownership, improving processes and creating outstanding customer experiences, we'd love to hear from you.
