Finance Assistant – Leeds
Job Overview
We are looking for a highly organised and proactive Finance Assistant to support the day-to-day financial administration of the business. Working closely with the Finance Director and wider Operations, Production, and Campaign teams, you will play a key role in maintaining accurate financial records, monitoring project spend, managing expense processes, and supporting the smooth running of finance operations.
This role is ideal for someone who enjoys working with numbers, has excellent attention to detail, and is comfortable communicating with colleagues across multiple departments to ensure financial processes are followed and maintained.
Salary: Competitive, dependent on experience.
Key Responsibilities
Finance Support
- Attend weekly finance meetings, ensuring new jobs are logged and invoiced.
- Process and track weekly budget requests.
- Review budget requests against approved quotations and liaise with Production and Campaign teams to resolve discrepancies, additional costs, or identified losses.
- Monitor spend on live campaigns and flag variances or potential risks to the Finance Director.
- Chase missing purchase orders, invoicing information, and supporting documentation where required.
- Support client payment chasing and maintain records of outstanding payments.
- Update and maintain financial trackers, including the company losses tracker.
- Assist with invoice processing, reconciliation, and general finance administration.
Expense Management
- Manage the weekly expense reconciliation process, including running reports and identifying outstanding receipts.
- Chase missing receipts from Head Office staff, Production teams, and Event Managers.
- Support team members with using the company's expense management platform, including obtaining digital receipts and uploading documentation correctly.
- Arrange one-to-one support sessions where additional assistance is required to ensure compliance with company expense procedures.
- Manage company card sign-in and sign-out processes, ensuring cards are returned and records are maintained accurately.
Campaign & Operational Support
- Keep task planners and shared documents up to date.
- Ensure correct documentation for new jobs is filed and distributed.
- Support the campaign team with weekly administrative checks, including budget requests, receipt reconciliation, and planner updates.
- Send weekly storage reports highlighting upcoming storage end dates and any required actions.
- Maintain accurate records and documentation to support campaign delivery and financial reporting.
Skills & Experience
- Previous experience in a finance, accounts, or administration role.
- Strong attention to detail and excellent organisational skills.
- Good understanding of budgeting, invoicing, and financial administration processes.
- Confident using Microsoft Excel and other Microsoft Office applications.
- Ability to manage multiple priorities and meet deadlines.
- Strong communication skills and confidence when liaising with colleagues, suppliers, and clients.
- Experience using finance or expense management systems is desirable but not essential, as full training will be provided.
