Parish Administrator
The Parish of Tamworth is the Church of England in Tamworth. Comprising four churches and a population of some 22,000 people, we work to help our community to flourish. We are Tamworth's oldest charity, and one of it's largest.
Following new leadership in March 2023, the Parish is witnessing an exciting period of growth and transition. Over the last three years, the average attendance at services across the parish has significantly improved, as has our financial outlook. We have been thrilled to welcome a number of new families and children to our worship and activities, and the age profile of our congregations has reduced. Daily visitor footfall has also increased substantially and St. Editha's Church in particular is developing into a leading centre of culture, heritage, education and tourism engagement.
With recent growth has come added administrative complexity and the task of maintaining efficient and dependable administrative functions across such a busy and diverse parish has increased significantly. To that end, we are seeking a professional, dynamic and dependable Parish Administrator who can help to ensure the smooth running of the whole parish.

There are occasionally opportunities for staff to participate in subsidised overseas visits.

You will be fully supported by the Vicar, Churchwardens and the wider team, who will enable opportunities for wider learning, reflection and developing of best practice. Role Description
The Parish of Tamworth offers many opportunities and challenges working across four contrasting, yet complementary, environments. In partnership with the wider leadership team, this post offers opportunities to help the parish to flourish with careful, thoughtful and dependable administrative support.
This post will be offered on the basis of 21 hours per week, Monday – Friday, 10am – 2pm in addition to attending a PCC meeting once per month, usually held on a Tuesday evening.
Key duties and responsibilities:
To undertake day to day secretarial and administrative tasks
- To assist with correspondence as required by the Vicar and other staff.
- To undertake diary management of parish appointments and events and to have some control over the Vicar’s diary, setting appointments and meetings.
- To work closely with the Churchwardens to ensure efficient communication and organisation of events and activities across the parish.
- To be responsible for ordering all church and parish equipment, stationery and maintaining office equipment.
- To undertake billing, invoicing and information capture for the parish finance team.
- To establish and maintain an efficient filing system for parish correspondence, records etc. that is acceptable to diocesan auditors.
- To manage third party bookings of the church (particularly wedding and funerals), the church hall, and associated properties and venues.
- To work alongside other staff and volunteers to create an effective, efficient and positive office environment, offering occasional PA support to the Vicar.
- To maintain HR records and co-ordinate holiday entitlement, etc, for the staff team.
- To serve as the Secretary to the Parochial Church Council, producing minutes and dealing with correspondence relating to the PCC.
To co‐ordinate and improve parish communications
- To act as the first point of contact and “front of house” in the parish office, answering telephone and email enquiries, welcoming visitors and dealing with issues as they arise.
- To set out, type and print weekly newsletters and assist with the maintenance of the parish website and social media presence and other communication needs.
- To maintain databases for parish groups and a general parish database.
- To take accurate minutes and records at meetings and to type up and distribute accordingly.
- To be the point of liaison between the Parish and the Diocese, Local Authority, schools and other agencies.
To organise and support liturgical and other parish events
- To prepare papers and certificates for baptisms, weddings and funerals, and to complete other arrangements and paperwork associated with such events
- To prepare liturgy books and orders of services, as required.
- To keep parish records up to date (i.e. marriages and baptisms, etc), understanding the requirements of GDPR and associated legalities.
- To help promote the churches as places and spaces for performances, concerts and venues, and to assist with bookings for special events and liaising with the Churchwardens and third parties to ensure events are effectively planned and delivered.
Holidays
You will be entitled to 28 days holiday per year (including pro-rata bank holiday entitlement) based on a 5-day working week.
Generic Responsibilities of all staff
As the Church is run by a small team, all staff are expected to act flexibly and cover for each other when required. Duties may include:
- Undertaking as requested other duties as might reasonably be expected;
- Following the policies and procedures of the Church, paying particular attention to the requirements of the policies and procedures for the safeguarding of vulnerable adults and children;
- Treating everyone with respect and dignity in the workplace.
PERSON SPECIFICATION
The successful candidate should ideally be able to demonstrate, where necessary with good evidence of its effectiveness, that they:
- Are excited by the prospect of this role and playing a part in the long and rich story of the church in Tamworth;
- Are able to work alone, in a small team, and with wider groups;
- Are careful and dependable, with an eye for detail. They should be able to manage records and data effectively, and able to deal with a wide variety of correspondence effectively and efficiently;
- Have an excellent telephone manner, personable and approachable with a courteous attitude of care and hospitality to visitors;
- Are able to deal with a wide variety of people, including those who present with challenging or complex needs;
- Are someone able to work under direction and instruction, responding to crisis and unexpected events in a professional and calm manner;
- Are willing to be flexible in their approach; someone who committed to work with the wider team to ensure the success of projects, events or other activities;
- Are able to hold confidences, respect the occasionally delicate and pastorally sensitive nature of our work, and work within appropriate legal boundaries;
