Evermax Ltd – Commercial Roofing & Reactive Maintenance

Evermax Ltd is a nationwide commercial roofing and reactive maintenance contractor, delivering planned and reactive works for commercial clients across the UK.
We are looking for an experienced Service & Operations Administrator to join our busy team and play a key role in coordinating jobs from initial instruction through to completion and invoicing.
This is not a traditional office administration role. We are particularly interested in candidates who have previously worked for a service provider, maintenance contractor, facilities management company, engineering business, construction contractor or similar organisation, where they have coordinated engineers, subcontractors, customers and multiple jobs at the same time.
You will be working closely with our operations and engineering teams, ensuring jobs are organised, communicated and progressed efficiently.
The Role
You will be responsible for supporting the day-to-day delivery of reactive and planned works, acting as an important link between our clients, engineers, subcontractors and internal team.
Your responsibilities will include:
- Managing incoming calls, emails and work requests from clients
- Processing new work instructions and ensuring jobs are correctly logged on our systems
- Coordinating engineers and subcontractors to attend sites
- Arranging site access, permits, keys, inductions and other site requirements
- Monitoring outstanding jobs and chasing updates to ensure works progress
- Liaising with clients regarding attendance, progress, delays and completion
- Arranging materials, plant, access equipment, accommodation and other requirements
- Processing engineers' job reports and ensuring all information is complete and accurate
- Reviewing photographs, reports and recommendations received from site
- Identifying and raising follow-on works where additional repairs or remedial works are required
- Assisting with quotations and job costings
- Monitoring engineer activity and completed works to support accurate billing
- Processing purchase orders, invoices and supplier documentation
- Reviewing timesheets and expenses and resolving discrepancies
- Maintaining accurate job records and ensuring systems are kept fully up to date
- Supporting the wider operations team with general administration and day-to-day coordination
Experience We Are Looking For
The ideal candidate will have previous experience working within a service-based or contractor environment, where coordinating people, jobs and customers was a key part of their role.
Experience in any of the following would be particularly relevant:
- Reactive maintenance
- Facilities management
- Property maintenance
- Engineering services
- Roofing or construction
- Mechanical or electrical services
- Field service operations
- Building services
- Service and maintenance contracts
You may currently be working as a Service Coordinator, Maintenance Coordinator, Helpdesk Coordinator, Planner, Works Coordinator, Service Administrator, Contracts Administrator, Operations Administrator or similar.
Most importantly, you will understand what it takes to manage multiple jobs simultaneously, coordinate field-based teams and keep customers informed from instruction through to completion.

- Comfortable working to deadlines and client requirements
- Good IT and system skills
- Able to pick up new systems and processes quickly
- Confident dealing with problems and finding practical solutions
- Reliable, proactive and able to work as part of a busy team
The Person
We're looking for someone who is organised, switched-on and proactive.
You will need to be comfortable picking up the phone, chasing information, dealing with unexpected problems and making sure jobs don't get forgotten.
This is a busy role where priorities can change throughout the day, so you must be able to remain calm, communicate clearly and keep control of your workload.
We don't expect you to know the roofing industry when you start. Experience of working within a service provider or contractor environment is more important.

Salary: Competitive, depending on experience.
Pay: £26,500.00-£29,000.00 per year
