We are a growing financial planning practice based in the heart of Linlithgow.

As our business continues to grow, we are looking for an organised, professional and personable Practice Administrator to become an important part of our team.
This is much more than a traditional administrative role. You will be at the centre of the day-to-day running of the practice, supporting our advisers, looking after our clients and helping us deliver an exceptional client experience.
The role
You will provide administrative and operational support across the practice, working closely with our financial advisers and wider team.
Your responsibilities will include:
- Acting as a welcoming and professional first point of contact for clients, both in person and by telephone
- Managing diaries and arranging client appointments and meetings
- Preparing for client meetings and ensuring advisers have the information and documentation they need
- Processing new business and maintaining accurate client records
- Liaising with clients, providers and other professional contacts
- Obtaining valuations, policy information and other documentation
- Following up outstanding information and keeping cases progressing
- Updating CRM and practice management systems
- Preparing and issuing client correspondence and documentation
- Supporting client onboarding and ongoing servicing processes
- Ensuring records and documentation meet regulatory and compliance requirements
- Assisting with anti-money laundering and client verification procedures
- Monitoring shared inboxes and ensuring enquiries are dealt with promptly
- Supporting the smooth day-to-day running of our Linlithgow office
- Helping us continually improve our administrative processes and client journey

- A clear and confident communicator, both verbally and in writing
- Comfortable using technology and learning new systems
- Reliable and able to work independently as well as part of a small team
- Discreet and comfortable handling confidential client information
- Someone who takes pride in providing an excellent standard of service
Experience working in financial services, wealth management, a financial advice practice or another regulated professional environment would be particularly welcome.
Previous experience within a St. James’s Place Partner Practice would be a significant advantage, as would familiarity with Salesforce and SJP processes and terminology.

- Salary of £25,500 - £28,000 depending on experience
