Through career advice, 1:1 coaching, fully funded accredited courses, and strong employer partnerships, we’ve helped more than 12,000 mums find family-friendly careers. We’re a small community-focused, flexible employer looking for an organised, highly efficient and customer focused administrator to join our team to help deliver an exceptional experience for our mums who enquire about our courses.
Role Overview
This is primarily a customer service role, with around 75% of the work spent on the phone speaking directly to learners, referral partners, and other stakeholders. You will ensure learners have a smooth, supportive, and positive experience from initial enquiry to course completion. You will be a process driven person and very organised. You’ll also provide essential administrative support to our events and courses, ensuring everything runs efficiently.
Key Responsibilities
Customer Service
- Speak with learners about courses, eligibility, and funding, providing a friendly and supportive service.
- Ability to follow processes in line with funding and business requirements.
- Respond to enquiries via phone and email, ensuring a positive, professional experience.
- Support the onboarding process, including administrative checks and sending/following up funding documentation.
- Maintain up-to-date information on courses and services to guide learners effectively.
- Monitor and report on registration numbers to support tracking of start numbers against our contracts.
- Ensure all GDPR and Successful Mums branding requirements are met.
- Attend occasional meetings, career fairs, and partner venues as required.
- Successful Mums is committed to safeguarding and promoting the welfare of our learners. As an administrator, you will be expected to share this commitment by following our safeguarding policies, report any concerns promptly and participating in ongoing safeguarding training.
Events Admin
- Support online and in-person events, including coffee mornings with schools, sign-in and attendance tracking.
- Collect feedback and monitor event outcomes to inform future planning and learner engagement.
- Admin tasks related to our employer engagement and events.
Partner Admin
- Engage with referral partners to share course information and maintain strong working relationships.
- Maintain accurate records of referrals and partner engagement.

Skills Required
Essential Skills & Experience
- Excellent communicator, confident on the phone and with a range of external customers.
- Empathy and sensitivity, with a strong customer service mindset.
- Organised, able to multi-task and prioritise work effectively.
- Positive thinker with creative problem-solving skills and attention to detail.
- Experienced with Microsoft Office (Excel, Word, PowerPoint), Zoom, and OneDrive.
Desirable Skills & Experience
- Experience in a training, education, not-for-profit, or small community organisation.
- Knowledge of marketing or events.
- Understanding of government or funding eligibility processes.
- Experience using a CRM system or database (we use Insightly and PICS)

This is a hybrid role, with occasional in-person meetings and events in and around Bromley, South London. Applicants will need to be able to travel to Bromley as part of the role.
Hours: Part-time / flexible 30 hours a week Monday to Friday
Pay: 24,785k (FTE) plus benefits including longer term being part of the Employee Ownership Trust (EOT)
