Office Administrative Assistant
Reporting To - Managing Director / Office Team
Location : Office Based - Meopham DA13
Job Purpose
To provide efficient administrative support to the business, ensuring the smooth day-to-day running of the office while assisting with basic bookkeeping, and general business operations.
Key Responsibilities Administrative Duties
- Answering telephone calls and directing enquiries appropriately.
- Maintaining company filing systems, both electronic and paper-based.
- Preparing letters, reports, quotations, and other business documents.
- Scheduling meetings, appointments, and managing diaries.
- Ordering office supplies and maintaining stock levels.
- Assisting with project administration and document control.
- Maintaining employee records and training documentation.
- Supporting the management team with general administrative tasks.
- Assisting with tender submissions and pre-qualification questionnaires (PQQs) when required.
Bookkeeping & Finance Duties (Non - Mandatory)
- Processing purchase invoices
- Raising sales invoices
- Recording receipts, payments, and financial transactions.
- Assisting with payroll administration and timesheet processing.
- Monitoring subcontractor invoices and payment schedules
Additional Duties
- Supporting health and safety administration.
- Assisting with fleet, plant, and vehicle records.
- Maintaining confidentiality of company and client information.
- Undertaking any other reasonable duties as required by management.
Skills & Experience Required Essential
- Previous experience in an administrative role.
- Good knowledge of Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Ability to work independently and as part of a team.
- Experience handling confidential information.
Desirable
- Previous bookkeeping or accounts administration experience.
- Experience using accounting software such as Xero, Sage, QuickBooks, or similar.
- Experience within the construction or civil engineering sector.
