Overview
We are seeking a highly organised and proactive Office Administrator/Personal Assistant to support the director with daily administrative tasks and personal assistance duties. The ideal candidate will possess excellent communication skills, be proficient in various software tools, and demonstrate a keen eye for detail. The successful applicant will be responsible for managing schedules, handling correspondence, and ensuring smooth office operations.
Responsibilities
- Managing and maintaining schedules, appointments, and calendar organisation
- Handling incoming calls with professional phone etiquette and directing enquiries appropriately
- Performing data entry tasks accurately using Microsoft Office, Google Workspace, and specialised software such as QuickBooks
- Organising files, documents, and correspondence to ensure easy retrieval and confidentiality
- Assisting with invoicing, expense tracking, and basic bookkeeping using QuickBooks
- Supporting administrative tasks such as photocopying, scanning, and filing
- Preparing reports, presentations, and other documents as required
- Coordinating meetings, booking venues or virtual meeting links, and preparing agendas or materials
- Managing personal errands or tasks for the employer as needed
- Maintaining a tidy and efficient office environment to optimise productivity
Qualifications
- Proven administrative experience or office experience demonstrating organisational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar accounting software is desirable
- Strong data entry skills with high accuracy and typing speed
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good communication skills with professional phone etiquette
- Clerical experience including filing systems and document management
- Ability to adapt quickly to new software tools and office procedures
- Strong attention to detail and confidentiality in handling sensitive information
