Operations Project Support
Location: Birmingham, B37 7HE (office-based role)
Hours: 40 hours per week, Monday to Thursday, 08:30–17:00, Friday, 07:30-16:00 (30-minute daily unpaid break)
Salary: £26,436.80 per year
Overview
The Operations Project Support role provides administrative, logistical, and creative support to the Operations Department. This position assists the Operations Manager in coordinating project activities, maintaining documentation, managing signage design, and ensuring operational standards are met across all installations and service delivery.
The role requires a high level of organisation, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
Project Coordination
- Assist in planning, scheduling, and tracking project timelines, deliverables, and milestones.
- Monitor project progress, highlight risks or delays, and provide regular updates to the Operations Manager and stakeholders.
Design and Creative Support
- Design and produce site signage and associated materials using Adobe Creative Suite.
- Ensure all signage designs comply with company brand standards, accessibility requirements, and relevant industry regulations.
- Manage sign proofing, revisions, and approvals in coordination with internal teams and clients.
- Maintain an organised, version-controlled library of artwork, templates, and design files.
Documentation and Reporting
- Maintain accurate and current project documentation, including project plans, risk assessments, and method statements.
- Prepare and issue project reports, summaries, and presentations for internal and external use.
- Ensure documentation is version-controlled and stored in accordance with company data management policies.
Administrative & Procurement Support
- Carry out day-to-day administrative duties, including correspondence, data entry, and scheduling.
- Support procurement by obtaining supplier quotes, raising purchase orders, and tracking deliveries.
- Raise and process requisition forms and purchase orders in line with company procurement policies.
- Track stock levels and coordinate replenishment of operational materials and equipment.
- Liaise with suppliers, contractors, and stakeholders to ensure timely delivery of materials and services.
- Ensure all materials ordered meet company quality and compliance standards.
- Book travel, accommodation, and other logistical arrangements for engineers and operations personnel.
- Maintain accurate records of travel bookings and associated costs for budget monitoring.
- Ensure all bookings align with company policy and are communicated clearly to relevant team members.
Operational Efficiency
- Identify opportunities for process improvements and assist in implementing practical solutions.
- Support the Operations Manager in monitoring performance and ensuring compliance with company procedures.
- Assist in the preparation of audits and compliance documentation.
Communication and Stakeholder Engagement
- Act as a key communication link between the Operations team, suppliers, and other internal departments.
- Promote clear communication and collaboration between internal teams.
- Liaise with project and site teams to ensure all required materials and documentation are available prior to site visits.
- Support the onboarding and training of new team members involved in operational or project activities.
Skills and Experience
- Experience in a project coordination, operations, or administrative support role.
- Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams).
- Experience with procurement systems, raising purchase orders, and managing supplier relationships.
- Basic design skills and familiarity with Adobe Creative Suite or similar software (desirable).
- Strong organisational skills with the ability to manage multiple priorities.
