Bowdraper is a family run commercial cleaning business with a portfolio of several hundred contracts across the Midlands and beyond. We are looking for a bright, organised individual to join us as Executive Assistant to our Senior Leadership Team.
This is a substantial role with real responsibility from the start, including ownership of our industry accreditations, production of client proposals, and helping us make proper use of AI tools across the business. You will learn the commercial side of a cleaning contract, how compliance and accreditation work in practice, and how a business of this size is run day to day. There is genuine scope for progression for the right person.
What You Will Be Doing
- Taking on administrative work for the Senior Leadership Team, including correspondence, diary management and meeting preparation.
- Attending senior management meetings, taking minutes and tracking actions through to completion.
- Owning our SafeContractor and ISO accreditation submissions end to end, gathering evidence from across the business and meeting submission deadlines.
- Producing client proposals from site surveys and meeting notes. Costings will be provided by senior management to begin with, and you will learn to build them yourself over time.
- Preparing regular management reporting on areas such as agency usage, credits issued and audit results.
- Supporting live tender submissions, including tracking deadlines and pulling together supporting evidence.
- Exploring AI tools that could reduce administrative workload or support our sales and marketing, and helping roll out the ones we adopt.
- Reviewing the software and systems we use across the business and identifying where things could work better.
- Supporting recruitment and onboarding paperwork, company events, and fleet administration.
- Growing into management of our senior leadership inboxes as you learn the business.
What We Are Looking For
- Educated to degree level, or proven experience in a senior PA, Executive Assistant or similar role.
- Strong written English. You will be drafting correspondence and proposals that go to clients.
- Good judgement, with the discretion to handle confidential information.
- Numerate and comfortable with figures, and keen to learn how commercial costings are put together.
- Confident with Microsoft Office and quick to pick up new systems.
- Comfortable using AI tools, or genuinely interested in learning them.
- Full UK driving licence. Our office is rurally located and a car is essential.
- Office, placement or administrative experience is welcome but not essential.
Personal Attributes
- Self motivated and proactive, happy to take ownership of a task and see it through.
- Adaptable and resilient, comfortable with varied work and shifting priorities.
- Detail focused, with a commitment to getting things right.
- Professional and credible, able to build rapport with clients, colleagues and suppliers alike.
- Keen to learn, with a genuine interest in how the business works commercially.
What We Offer
- Broad exposure to the commercial, operational, HR and compliance functions of an established business.
- Full training across accreditation, compliance, proposal production and commercial costings.
- Regular formal progress reviews, with responsibilities extended as competence develops.
- A formal salary review at six months, linked to agreed objectives.
- Ownership of defined areas of work, with the support of the Senior Leadership Team throughout.
- 25 days holiday plus 8 bank holidays.
- Company pension scheme.
- Free on site parking.
