Contract: Temporary event role – evenings/weekends throughout the Halloween event
About the role
We are looking for an organised, confident and responsible Cast & Trail Coordinator to join the team for our Halloweenville event at Partridge Lakes.
You will be the main point of contact for our actors and cast throughout the event, making sure everyone knows where they need to be, when they need to be there and that the trail is running smoothly each night.
This is a hands-on role that would suit someone who enjoys live events, working with performers and being in the middle of a busy event environment.
Key responsibilities
- Be the main point of contact for all actors and cast members throughout the event.
- Organise and manage the cast schedule and ensure actors are out in position and ready on time.
- Coordinate actor arrival, briefing and getting everyone into position before the trail opens.
- Deal confidently with any issues or problems that arise with the cast during the event.
- Walk the Halloween trail throughout the evening, checking on actors and ensuring all areas are operating as planned.
- Monitor the overall cast experience and make sure actors are supported throughout their shifts.
- Liaise with the event management team and report any issues that need escalating.
- Organise the make-up schedule for actors and coordinate timings with the make-up artists.
- Ensure actors are attending make-up at the correct time so there are no delays to getting them onto the trail.
- Oversee the changing/costume area and ensure costumes are organised, looked after and returned neatly at the end of each night.
- Make sure costumes and cast equipment are ready for the following event night.
- Help coordinate cast breaks and rotations where required.
- Carry out regular checks of the trail and communicate with actors to ensure the experience remains consistent for customers.
- Keep an eye on the overall atmosphere and flag anything affecting the customer experience.
- Help with end-of-night cast organisation, ensuring everyone is accounted for and the costume/changing areas are left tidy and organised.
What we're looking for
We're looking for someone who is:
- Highly organised and able to keep track of multiple people and schedules.
- Confident giving instructions and managing a team of actors.
- Friendly, approachable and good at dealing with people.
- Calm under pressure and able to deal with problems as they arise.
- Proactive – you'll need to spot things that need doing rather than waiting to be asked.
- Reliable and punctual, particularly as the role involves getting a large cast into position on time.
- Comfortable working outdoors and walking the trail regularly during the event.
- Interested in Halloween, theatre, live events, entertainment or working with performers – although previous experience in these areas isn't essential.
- Available for evening and weekend event work throughout the Halloween period.
Experience
Previous experience in event coordination, theatre, entertainment, cast management, hospitality, events or a similar role would be an advantage.
Most importantly, you need to be confident managing people, extremely organised and able to take responsibility for making sure the cast side of the event runs smoothly.
