About the Role
We are seeking a proactive, organised and personable Operations & Administration Support Coordinator to provide administrative and operational support to our charity. This flexible freelance role is ideal for someone who enjoys bringing structure, coordinating activities and helping a small team work effectively.
You will play a key role in supporting the day-to-day administration and coordination of the charity by managing communications, coordinating activities, maintaining systems, and helping projects remain organised and on track. This is an exciting opportunity to help shape how the charity operates and contribute directly to our future growth and impact.
Key Responsibilities
- Manage and monitor the charity’s email inbox, responding to enquiries.
- Coordinate diaries, meetings and appointments.
- Organise and track staff and volunteer tasks, ensuring agreed actions are followed up and completed.
- Prepare meeting agendas, record actions and monitor progress.
- Support internal and external communications.
- Prepare letters, reports, presentations and other documentation as required.
- Maintain accurate records, filing systems and administrative processes.
- Help improve administrative systems and ways of working as required.
- Provide administrative support for projects, events and initiatives as required.
- Liaise professionally with staff, volunteers, partners and external organisations where appropriate.
- Provide general administrative and operational support to the leadership team.
Person Specification
We are looking for someone who has:
- Excellent organisational and time management skills.
- Outstanding written and verbal communication skills.
- Experience in administration, operations, project coordination or executive support.
- The ability to prioritise competing tasks and work independently.
- Confidence using Microsoft Office and cloud-based collaboration tools.
- A professional and trustworthy approach, with the ability to handle confidential information appropriately.
- A proactive, positive and solution-focused attitude.
- An interest in supporting the work of a charitable organisation.
Working Pattern
This is a primarily remote freelance role, requiring approximately 6–10 hours per week.
The role includes one regular in-person planning and coordination meeting each week in Nottingham. The remainder of the work can be completed remotely.
The exact working pattern and timings will be agreed with the successful candidate, ensuring flexibility while meeting the needs of both parties.
