Job Summary
We are seeking a dedicated Veterinary Admin Assistant to join our busy farm practice.
This role involves providing essential administrative support to ensure the smooth operation of the clinic and will provide day to day assistance to the Practice Administators involving covering telephones and providing general administrative support.
The ideal candidate will have a keen eye for organisation, excellent communication skills, and preferably some experience within a veterinary or farming environment.
Duties
- Managing appointment scheduling and client communication via phone and email
- Assisting with laboratory tasks such as sample processing and data entry, where applicable
- Organising clinic supplies and ensuring the reception area is tidy and welcoming
- Supporting staff with administrative tasks as needed
- Ensuring compliance with clinic policies and health & safety regulations
- Opening/closing office and transferring phones for out-of-hours cover
- Dealing with client queries by phone, email or in person (with input from clinicians/managers as required)
- Preparing new client packs and registering new clients
- Coordinating submission of lab samples by courier/post
- Processing client card payments by phone or in person
- Monitoring/ordering office consumables including stationery and kitchen supplies
- Maintaining a clean/tidy/safe office environment on a daily basis
- General practice filing/archiving
Key Skills
- Previous experience in a farming or veterinary environment is highly desirable
- Strong organisational skills with attention to detail
- Excellent verbal and written communication abilities
- Punctual and reliable
- Ability to multi-task and manage priorities with calm manner (particularly emergency visits) to ensure efficient running of diaries
- Understanding of the importance of attention to detail in every aspect of running a vet practice and adherence to statutory regulations
- Clear and methodical approach to problem solving
- Willingness to ‘muck-in’ as a member of the team
- Proficiency in using computer software such as MS Office or veterinary management systems
Pay: From £25,000.00 per year
