PURPOSE OF ROLE:
Ensures the smooth running and proper flow of office procedures. Supports colleagues and the wider business team by carrying out common office duties and providing administrative support. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.
KEY ACCOUNTABILITIES:
- Coordinating the reception area, including welcoming visitors
- Coordinating company correspondence, including phone calls, emails, letters, and packages both incoming and outgoing and recording data on special letter/deliveries
- Coordinating company vehicle fleet to include one vehicle requiring more management as they are run under an operator’s licence.
- Daily checking of Microsoft teams’ channel and actioning any due tasks.
- Organising meetings, scheduling appointments, and overseeing catering during company events
- Onboarding of new starters
- Performing data entry roles, including updating records and databases for personnel, financial and legal information
- Coordinating inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations.
- Creating travel itineraries for business executives, employees, and company events
- Answering phone calls, taking messages, and managing official correspondence
- Preparing letters, memos, emails, and reports
- Arranging appointments, meetings and organising corporate events
- Taking meeting notes
- Updating files and company records
- Creating agendas and take meetings notes.
- Assists in purchase orders and invoicing.
- Photocopies and files appropriate documents
- Day-to-day input / output using Xero regarding purchase.
- Drafts, formats, and prints relevant documents.
- Assist in booking mandatory training course and recording this.
- Maintaining office equipment like copiers and printers for smooth office functionality
- Creating, editing and updating spreadsheets
- May take care of website functions and social media profiles.

Pay: £22,000.00-£24,000.00 per year
