Job Overview
We are seeking a proactive and detail-oriented Administration Assistant to support a Financial Adviser in delivering exceptional client service and efficient office operations. Responsibilities
- Assist in preparing comprehensive reports and analysing financial data to support planning activities
- Manage client records and ensure all documentation is accurate, organised, and up-to-date using Microsoft Office applications such as Word, Excel, and Outlook
- Provide exceptional customer service by responding promptly to client enquiries via email or phone
- Support the Financial Adviser with scheduling appointments, follow-ups, and maintaining the calendar
- Conduct basic analysis to identify trends or discrepancies within financial data sets
- Draft correspondence, presentations, and other documentation with clear and professional communication skills
- Organise files, documents, and other administrative materials efficiently to facilitate smooth office operations
- Utilise IT skills to troubleshoot minor technical issues related to office software or hardware
Experience
- Previous administrative experience is preferred but not essential; training will be provided for specific tasks
- Strong report writing and analysis skills are desirable for supporting financial planning activities
- Familiarity with financial services or related sectors will be advantageous
- Excellent organisational skills with the ability to prioritise tasks effectively and manage time efficiently
- Proficient in Microsoft Office suite, including Word, Excel, and Outlook; knowledge of IT systems relevant to office administration is beneficial
- Outstanding communication skills—both written and verbal—are essential for liaising with clients and team members
- Demonstrated customer service experience with a professional approach towards client interactions
