Main Purpose of the Role
Reporting directly to the Procurement Manager, the System Administrator is directly responsible for ensuring all new stock items, Bills of Materials (BOMs), and product data are accurately created, maintained, and controlled within the company’s Pegasus Opera system. This role supports manufacturing efficiency, cost accuracy, material planning, and product traceability by maintaining high quality data.
Key Responsibilities
Stock Item Creation and Maintenance
- Create new stock codes for raw materials, components, WIP, and finished goods.
- Ensure all item attributes are correctly set (UoM, lead times, cost, supplier, storage location, safety stock, etc.).
- Maintain accurate product descriptions and classifications (ABC codes, commodity codes, etc.).
- Update item records when specifications, suppliers, or costs change.
- Ensure compliance with internal naming conventions and coding structures.
Bill of Materials (BOM) Setup and Control
- Create new BOMs based on internal specifications and production requirements.
- Validate BOM accuracy with Engineering, Production, and Quality teams.
- Maintain revision control and ensure superseded BOMs are archived correctly.
- Update BOMs following engineering changes, product improvements, or supplier changes.
- Ensure BOMs reflect accurate material usage.
System Administration
- Maintain master data integrity across all product and material records.
- Support system improvements, data cleansing, and standardisation projects.
- Run reports to identify missing, incorrect, or duplicate data.
- Support planning and purchasing teams with data queries.
Cross Functional Collaboration
- Liaise with Purchasing to confirm supplier details and material costs.
- Support Production / Parts with BOM queries and material issues.
- Collaborate with Quality to ensure controlled documentation and traceability.
Person Specification
Qualifications and Background
Essential
- Experience in a systems, data administration or similar role.
- Experience working within a fast-paced manufacturing, engineering or production environment.
Desirable
- Experience using ERP/MRP systems such as Pegasus Opera.
