Bid Co-Ordinator Apprentice

Answer Digital are looking for a fast-paced sales and commercially - minded administrator to join us on a Business Administration Level 3 Apprenticeship At Answer, the Bid Function sits at the heart of our growth, contributing directly into contract wins and the difference it makes is visible, immediate and genuinely valued by the organisation.
What you’ll be doing
As the Bid Co-ordinator Apprentice you will provide end-to-end coordination and administrative support to the bid function, working closely with the Bid Management Lead and Sales Leads to ensure every submission is well-planned, fully compliant and delivered on time.
Key Responsibilities
Opportunity tracking & pipeline
Monitor procurement portals (e.g. Find a Tender, Contracts Finder and framework portals such as Jaggaer, Atamis and ProContract) for relevant opportunities and log them for review.
Maintain the opportunity pipeline and bid tracker, keeping status, deadlines and ownership up to date.
Download tender documentation, distribute it to the relevant team members and highlight key dates and requirements.
Bid coordination & planning
Support the Bid Management Lead in Pipeline/Capture Management pre-bid.
Arrange and coordinate kick-off, review (storyboard/pink/red team) and sign-off meetings, capturing actions and chasing them to completion.
Manage the clarification questions process, logging queries and buyer responses and circulating updates to the team.
Compliance & quality
Collate mandatory documentation such as policies, certificates, insurances, accreditations and declarations (e.g. Modern Slavery, financial and framework-specific requirements).
Document & content management
Apply version control and manage document storage across Bid Management areas ensuring a single source of truth for each bid.
Format bid responses, presentations and supporting materials to a professional, on-brand standard using Word, PowerPoint and Excel.
Maintain and continuously improve the reusable content library — boilerplate responses, case studies, CVs, accreditations and win themes.
Submission & post-bid
Compile final submission packs and upload/submit responses via e-procurement portals, ensuring all requirements are met ahead of deadline.
Record bid outcomes, capture buyer feedback and maintain win/loss data to support performance reporting.
Support lessons-learned reviews and help embed improvements into the team's ways of working.
The Bid Coordinator Apprentice role is designed as the foundation of a clear career pathway within Answer Digital's bid function. What you’ll bring to Answer
Essential
Strong organisation, planning and time-management skills, with the ability to juggle multiple deadlines simultaneously.
Experience in administration / coordination role.
Excellent written English, with strong attention to detail and proofreading ability.
Strong interpersonal skills, comfortable coordinating input from stakeholders at all levels.
Ability to stay calm, focused and accurate while working under pressure to fixed deadlines.
Confident user of Microsoft Office (Word, PowerPoint, Excel) and collaboration tools such as Slack and Teams
It would be great if you also had experience in some of these, but if not we’ll help you with them:
Desirable
Experience in a bid, proposal, tender or similar deadline-driven coordination role.
Working knowledge of UK public sector procurement and frameworks (Digital Outcomes, G-Cloud, CCS, NHS routes to market).
Familiarity with e-procurement portals (e.g. Jaggaer, Atamis, ProContract, Find a Tender).
Experience maintaining content libraries or proposal/knowledge-management tools.
Knowledge of Google suite applications.
Knowledge of AI tools and their use in administration tasks.
Awareness of information-security good practice (e.g. ISO 27001, Cyber Essentials).
Entry Requirements
5 GCSEs at grade 4/C or above, including English and Maths (or equivalent)
Must not already hold a qualification at the same or higher level in a similar subject
Must be eligible for apprenticeship funding (UK resident for 3+ years prior to start date)

Our Interview Process

We’ll also ask questions about the role and challenges you might face and how you’d face them. Here, we’d recommend asking questions about the role, the day to day responsibilities and what life in the team is like.
Cultural/Value interview: This interview will be with 2 of our Leadership team, either our Directors or Capability Leads. It will focus on our culture and values, talking about our values and what they mean to us as well as understanding what values are important to you and how you like to work.
