Working Pattern: Full-time (37.5 hours per week, Monday to Friday)
Working Arrangement: Office-based with optional rotational remote working, subject to business requirements.
Job Summary
As a Legal Administrator within the Landlord Action team, you will provide administrative, client and case management support to help ensure landlord and tenant matters are progressed efficiently and professionally. You will work closely with clients and teammates, coordinating documentation, managing case records, handling enquiries and supporting the legal process from instruction to completion. This is an excellent opportunity for an organised and customer-focused professional to develop their knowledge within a legal environment while utilising strong administration, communication and relationship management skills.
Key Responsibilities
- Manage the administrative progression of landlord and tenant matters from instruction through to conclusion, ensuring all case information is accurately maintained within the case management system.
- Act as a key point of contact for clients, handling enquiries professionally and providing timely updates throughout the legal process.
- Support the legal team with the preparation and administration of case documentation, including court bundles, bailiff applications and client correspondence.
- Receive new instructions, gather relevant information and documentation, and open new matters in accordance with company procedures.
- Liaise with clients to obtain outstanding documentation, information and payments required to progress matters efficiently.
- Assist Caseworkers by preparing draft documentation and completing administrative tasks to support effective case progression.
- Process incoming post, emails and correspondence, ensuring information is accurately recorded and stored on the case management system.
- Monitor shared inboxes, responding to routine enquiries and directing communications to the appropriate team members when required.
- Maintain accurate case, billing and management information records to support operational reporting and business performance.
- Complete invoicing and payment allocation activities in accordance with departmental procedures.
- Ensure all work is processed in line with service standards, regulatory requirements and internal procedures.
- Identify opportunities to improve administrative processes and contribute ideas that enhance efficiency and client experience.
- Maintain knowledge of landlord and tenant processes, legal developments and industry best practice relevant to the role.
- Support wider departmental initiatives, including marketing activities, event attendance and business projects where required.
- Undertake any other duties reasonably required by the Management Team to support the successful operation of the department.

- Excellent written and verbal communication skills with a high standard of English.
- Strong organisational and time management skills with the ability to prioritise competing workloads.
- Exceptional attention to detail and commitment to producing accurate work.
- Proven customer service skills with confidence in communicating with clients by telephone and email.
- Ability to work collaboratively within a team while using initiative to resolve problems independently.
- Proficiency in Microsoft Office applications, including Word, Excel and PowerPoint.
- Ability to learn and confidently use case management systems and other legal technology.
- Strong numerical skills and experience of billing or invoicing processes are advantageous.
