Property Management Coordinator – Residential Lettings

Square Property Management is a fast-growing HMO and residential property management company operating across the Midlands. We manage a growing portfolio of properties and are committed to providing a high standard of service to our landlords and tenants.
As we continue to grow, we are looking for an organised, proactive and hands-on Property Management Coordinator to join our team and help keep our properties running smoothly.
THE ROLE
This is a varied, hands-on role at the heart of our property management operations.
You will help oversee the day-to-day management of our residential and HMO properties, working closely with tenants, landlords, contractors and our internal maintenance team.
The ideal candidate will be organised, confident dealing with people, able to manage competing priorities and comfortable taking ownership of issues from start to finish.
WHAT YOU'LL BE DOING
- Managing day-to-day property and tenancy matters across a portfolio of residential and HMO properties
- Conducting property viewings with prospective tenants
- Carrying out move-in and move-out inspections
- Carrying out regular property and HMO inspections and following up on any issues identified
- Acting as a key point of contact for tenants and landlords
- Responding to tenant and landlord queries and resolving issues promptly
- Coordinating repairs and maintenance with our in-house team and external contractors
- Following up on outstanding maintenance works and ensuring jobs are progressed within expected timescales
- Supporting room and property turnarounds between tenancies, working towards our 7-day ready target
- Coordinating access to properties for contractors, surveyors and other professionals
- Monitoring property compliance requirements and following up on outstanding certificates or inspections
- Keeping accurate and up-to-date property, tenancy and inspection records
- Working closely with the wider property management team to ensure properties remain well maintained, compliant and ready to let
WHAT WE'RE LOOKING FOR
- Previous experience in property management, lettings, housing, property administration or a similar role
- Strong organisational skills and the ability to manage multiple properties and priorities
- Excellent communication skills and confidence dealing with tenants, landlords and contractors
- A proactive approach to resolving problems rather than simply reporting them
- Ability to work independently, use initiative and make sound decisions
- Strong attention to detail and good administrative skills
- A professional and customer-focused approach
- Ability to remain calm and organised when dealing with competing priorities
- Good working knowledge of HMO and residential lettings compliance is an advantage
- A valid UK driving licence and access to your own vehicle is essential, as the role involves regular travel between properties. A company vehicle is not provided.

WHO THIS ROLE WOULD SUIT
This role would suit someone who enjoys a hands-on property management environment and doesn't want to be behind a desk all day.
You may currently be working as a Property Manager, Lettings Manager, Property Administrator, Lettings Coordinator, Housing Officer or in another role involving tenants, properties and contractors.
We're particularly interested in people who are organised, practical, proactive and good at getting things done.
