We are seeking a dynamic and highly organized Executive Assistant to support our Directors in achieving their strategic goals. Responsibilities
- Manage and prioritize the Directors’ calendars, scheduling meetings, appointments, and travel arrangements efficiently.
- Prepare, review, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
- Handle incoming calls with professionalism, practicing excellent phone etiquette while directing inquiries appropriately.
- Assist in the tasks of the directors in various areas such as sales, marketing, legal and complaisance
- Coordinate logistics for meetings, conferences, and events, including venue arrangements and catering if needed.
- Maintain organized filing systems—both digital and physical—to ensure quick retrieval of essential documents.
- Support administrative projects by conducting research, compiling data, and preparing summaries as requested.
Qualifications
- Proven administrative experience supporting executive-level staff or directors in a professional setting.
- Strong organizational skills with the ability to multitask effectively under tight deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Outlook, Calendar)
- Excellent data entry skills with high accuracy; typing speed should be swift and precise.
- Previous office experience involving clerical tasks such as filing, correspondence management, and scheduling.
- Demonstrated phone etiquette skills with a courteous and professional communication style.
- Ability to adapt quickly to new tools or software as needed; strong attention to detail is essential.
- Ability to oversee HR.
