Stag Properties Ltd Wales is looking for a highly organised and detail-oriented Accounts & Office Administrator to support the day-to-day financial and administrative operations of our growing lettings and property management business.
This is a varied role requiring someone who is confident working with figures, managing multiple tasks and ensuring that financial records are accurate. The successful candidate will play a key role in maintaining excellent service for both landlords and tenants while supporting the wider office team.
Key ResponsibilitiesProperty Accounts
- Process contractor invoices and ensure all costs are accurately recorded.
- Allocate contractor charges to the correct landlord or property.
- Raise landlord charges where appropriate.
- Produce accurate landlord statements.
- Assist with landlord payments.
- Reconcile invoices and payments.
- Monitor outstanding contractor invoices and supplier accounts.
- Liaise with contractors regarding invoices, quotations and payment queries.
- Prepare financial information for the company's accountant.
- Maintain accurate financial records.
Property Administration
- Update the property management system with maintenance works and costs.
- Process maintenance quotations and approvals.
- Ensure all invoices are supported by the appropriate documentation.
- Maintain digital property and landlord files.
- Assist with tenancy administration and property documentation.
- Keep compliance records organised and up to date.
- Support the preparation of reports and internal records.
Office Administration
- Answer telephone and email enquiries professionally.
- Manage incoming and outgoing post.
- Assist with diary management and appointments.
- Order office supplies.
- Support directors and the wider team with administrative tasks.
- Maintain confidential records in accordance with company procedures.
Skills & Experience
Essential:
- Previous accounts or bookkeeping experience.
- Excellent attention to detail.
- Strong organisational and time management skills.
- Confident using Microsoft Office, particularly Excel.
- Excellent written and verbal communication skills.
- Ability to manage confidential information.
- Ability to prioritise workload and meet deadlines.
Desirable:
- Experience within the property or lettings industry.
- Knowledge of landlord statements and client accounting.
- Experience using property management or accounting software (such as Alto, Xero, Sage or QuickBooks).
- AAT qualification or studying towards one.
