Wimbledon College is a Roman Catholic secondary school for boys based in South West London. We are seeking an experienced administrator who has ideally worked within a busy office.
Job Summary:
The ideal candidate should have good customer service, ICT and communication skills. We are seeking an individual who is well-organised, efficient, flexible, calm, friendly, motivated and passionate about providing an excellent support service to our children, staff, contractors and visitors.
Essential Duties:
To welcome visitors to reception and assist in general administrative tasks
- Term Time Hours - 12.30pm to 4pm, 17.5 hours per week over 5 days
- Answering the telephone, taking messages and dealing with enquiries
- Obtain quotes, ordering and prepare work orders
- Arrange and book facilities related staff training, keeping up to date records
- Monitor and update facilities database with service dates and reports
- Provide administrative support to the Catering Manager
- Maintaining the Fixed Assets Register
- Processing of bookings for internal school lettings and producing up to date weekly schedules
- Cover other administrative Service roles when required.
Required Skills:
- Reliability - An excellent attendance and punctuality record
- Demonstrate initiative and ability to prioritise one’s own work – excellent time management skills.
- A high level of communication skills and the ability to relate (both verbally and in writing) at all levels
- Knowledge and experience in ICT skills and technology
- Previous work experience in an office environment/school environment
- A proven ability to work on their own initiative.
- A commitment to the happiness well-being, self-esteem and progress of everyone at the school
- Efficient and meticulous in organization. Ability to maintain accurate records and filing systems
- Able to work flexibly to meet deadlines and respond to unplanned situations - to respond positively to new instruction/directly and work in collaboration with Line Manager – a calm and ‘can do’ attitude to situations arising.
- Verbal and written communication skills - ability to build and form good relationships with students, colleagues and other adults.
- Ability to work constructively as part of a team, understanding school roles and responsibilities.
- Appreciation of the importance of confidentiality and sensitivity in dealing with pupils, parents and staff. Ability to manage and deal with confidential data/issues appropriately.
