Purpose of the role
To provide high-level technical and administrative support to financial advisers and their clients, ensuring the delivery of accurate, timely, and compliant advice.
Responsibilities
- Ensuring the telephone is answered promptly and all client contact is carried out in a professional and courteous way.
- Keeping all client records up-to-date and accurately maintained, utilising business process guides and checklists to ensure procedures are always followed.
- Sorting and allocation of post, updating CURO.
- Completing AML checks, following company procedures for alerts.
- Sending and processing of ATR questionnaires.
- Preparing and issuing client fee invoices.
- Preparing meetings packs to support advisers.
- Submission and processing LOA and COAs with providers.
- Submission of new business applications to providers and lenders, ensuring case progression is maintained within appropriate timeframes, updating Curo with all progression contact information and updates documented throughout the journey.
- Managing new business processing, including setting up recommendations in CURO.
- Updating CURO with all policy transactions and changes.
- Completion of new business checks and ensuring all documentation is accurate.
- Supporting advisers in in the completion of complex client-facing documents (e.g., provider forms).
- Booking client annual review meetings on behalf of advisers
- Performing review meeting systems checks along with updating plan information and running validation reports.
- Preparation of annual review reports, including valuations, amendments where required and issuing reports to clients within service standard timeframes.
- Diligently processing fund switches, money movements and withdrawals, maintaining clear audit trail of transactions, ensuring CURO is updated with all policy transactions and changes.
- Assisting with lead enquiry management, triage, and scheduling client meetings.
- Recording daily time spent within tasks on CURO and completion of timesheet for independent work undertaken outside of CURO.
- Dealing with ad-hoc tasks, provider or client queries to meet the business needs.
- Ensuring the central inbox tasks are maintained daily without delay, and no tasks remain within inboxes beyond 48 hours.
- Complying with the Financial Services and Markets Act 2000, the FCA’s Conduct rules / FCA Statements of Principle & Code of Practice and the relevant FCA rules at all times.
Skills and Experience Required
- Excellent interpersonal skills and professional demeanour, able to converse with clients in a courteous and professional manner.
- Working with CRM or back-office systems (e.g., CURO or similar platforms).
- Accurate data entry and record-keeping.
- Understanding of compliance requirements under FCA regulations.
- Following documented business processes and checklists.
- Strong attention to detail.
- Ability to multitask and manage time effectively.
- Ability to communicate well both in writing and verbally.
This is a progressive role and would suit anyone with an aptitude for learning and development. We support progression towards Level 4 Diploma in Regulated Financial Planning and onward career development towards roles in Operations, Compliance, Investment Management or Advice for those looking for career pathways.
