We are currently seeking to recruit a Guest Experience Host at the Ford Academy in Daventry, on a full-time or part-time basis.
The Guest Experience Host is the face of the Henry Ford Academy, responsible for delivering a premium, five-star guest experience to all guests visiting the Academy. Working closely under the guidance of the Senior Guest Experience Host, this role combines high-quality front-of-house hospitality, first-line security, event execution, and essential administrative support.
The post holder will ensure a warm, professional, and seamless environment, actively supporting the day-to-day operations of meetings and events hosted at the HFA Academy & HFA Venue.
Key Responsibilities
Guest Experience & Front-of-House Excellence
- Premium Hospitality: Deliver a warm, professional, and seamless arrival and departure experience for all guests, delegates, and VIPs.
- Visitor & Security Management: Act as the primary interface for receiving visitors, administering the security badge process, and supporting the delivery of HFA’s Access and Security Policy.
- Arrival Coordination: Welcome and check in delegates, distribute lanyards and table assignments, and provide clear orientation/information regarding their day.
- Digital Displays: Control all reception area televisions and digital displays, ensuring delegate arrival videos, Ford promotional content, and course/room number slides are accurate and up to date.
- Communication Hub: Manage inbound and outbound telephone calls professionally, providing an overflow messaging service for the Learner Performance Team.
Event Coordination & Venue Support
- On-the-Day Event Hosting: Lead the day-to-day front of house execution of meetings and events at the HFA Venue. This includes greeting and registering attendees, acting as the primary on-site Point of Contact (POC) for any immediate needs or issues, and coordinating in real-time with catering, facilities, and other internal teams.
- Function Sheet Creation: Author detailed function sheets for upcoming meetings and events to clearly communicate requirements (such as catering, room setups, and IT) to key teams across HFA, ensuring flawless execution.
- Event Communication: Distribute completed function sheets to all relevant stakeholders and upload them to the shared Meetings & Events Microsoft Teams channel in a timely manner.
Operations & Administration
- Responsible for delivering a wide range of administrative functions, including delegate onboarding, visitor management, security processes, training administration, learner attendance tracking, stakeholder communications, facilities coordination, system administration, and operational support to maintain a safe, efficient, and customer-focused learning environment.
- Compile and distribute the Monthly Management Rota to assign the daily Point of Contact (POC), factoring in staff holidays, planned events, and prior commitments.
- Coordinate and distribute the Fire & First Aid Rota to key team members every Friday.
- Accommodation Management: Handle delegate accommodation bookings, manage cancellations or updates, and resolve hotel-related inquiries.
- LMS & Attendance Administration: Maintain a detailed working knowledge of the LMS database to accurately report and update attendance.
- Delegate Management: Set up class rosters, establish break times, and proactively communicate final attendee numbers to the Restaurant Manager and Materials Controller.
- Absence Follow-up: Conduct follow-up calls for delegate "no-shows" and update systems with relevant notes and reasons.
- Team Cover: Maintain cross-functional knowledge of other roles within the HFA Administration team to participate in absence cover (such as Data Administration cover) as required.
Experience, Skills, and Qualifications
- Hospitality/Front-of-House: Proven experience working in a front-of-house, reception, guest relations, or corporate hospitality environment (experience in a premium or five-star environment is highly desirable).
- Event Support: Experience assisting with the coordination or hosting of meetings, corporate events, or group bookings.
- Administration: Solid background in general office administration, reception duties, or database management.
- Customer-First Mindset: A genuine passion for customer service, with exceptional attention to detail regarding front-of-house presentation and guest satisfaction.
- Communication: Highly developed verbal and written communication skills, with the confidence to professionally interface with delegates, trainers, and corporate personnel at all levels.
- Organisation & Multi-tasking: Strong organisational skills with the ability to manage rotas, coordinate schedules, and handle multiple tasks calmly under pressure.
- Digital Literacy: High level of computer literacy, including proficiency in Microsoft Office 365 applications (Word, Excel, Outlook, and Microsoft Teams for collaboration). Quick to learn bespoke databases (such as LMS).
- Education up to GCSE or equivalent, including English and Mathematics (grades A-C / 4-9 or equivalent) is essential.
- NVQ Level 2 in Customer Service, Hospitality, or Business Administration is desirable.
