Role Purpose
To provide high-level business, administration, HR and executive support to the Managing Director and wider management team, ensuring the efficient day-to-day operation of the business.
The role will act as a central point of coordination across administration, HR, finance support and business operations, helping ensure actions are completed, deadlines are met and company processes are followed.
Key Responsibilities
Executive Support
- Manage the Managing Director's diary and appointments.
- Schedule meetings and coordinate calendars.
- Prepare meeting agendas and supporting documents.
- Attend meetings and record accurate notes and actions.
- Track and monitor actions arising from meetings.
- Chase managers and staff for updates and completion of actions.
- Manage reminders, deadlines and business priorities.
- Support the Managing Director with day-to-day administration.
Business Administration
- Maintain company records and databases.
- Prepare business documents and reports.
- Manage filing systems and document control.
- Maintain company templates and standard documentation.
- Support business improvement projects.
- Coordinate company audits and compliance activities.
- Assist with contract administration.
- Arrange client, supplier and stakeholder meetings.
Human Resources Administration
- Manage recruitment administration from advert through to onboarding.
- Coordinate interviews and assessment processes.
- Issue contracts of employment and employment documentation.
- Coordinate references, screening and Right to Work checks.
- Maintain employee personnel files.
- Schedule probation reviews and annual appraisals.
- Coordinate investigation, disciplinary and welfare meetings.
- Maintain HR trackers and records.
- Support absence and holiday administration.
- Ensure HR documentation remains compliant and up to date.
Finance Administration
- Process supplier invoices.
- Upload and maintain financial records.
- Assist with credit control activities.
- Support debt collection processes.
- Maintain finance trackers and reports.
- Assist with payroll administration.
- Liaise with suppliers regarding invoice queries.
- Support future transition into invoicing and finance administration functions.
Management Support
- Monitor completion of management actions.
- Assist with performance monitoring.
- Produce management reports and KPI information.
- Support managers with administration and compliance requirements.
- Ensure company procedures are being followed.
- Escalate concerns or overdue actions to the Managing Director.
General Duties
- Provide professional support to clients, suppliers and stakeholders.
- Maintain confidentiality at all times.

- Undertake additional duties reasonably required by the business.

Pay: £14.36 per hour
