The role:
Support effective clinical care by providing an efficient Health Records service to patients in a ward environment. To ensure patient’s health records are administered and processed accurately and remain confidential.
The post holder will provide cover in multiple wards as and when required. The post holder will be expected to undertake all duties such as reception of patients, answering telephone, appointment booking and maintaining demographic information on the patient management system.
It is essential that the candidate has previous clerical/reception experience along with experience of working with the general public in a customer service environment.
Good organisational, keyboard and communication skills are essential along with being proficient in the use of computer systems.
Please note this is a GGC wide post and can be moved to any location, however initial base will be Glasgow Royal Infirmary.

Duration, Location, and Working Pattern:
There are 4x permanent, part-time positions available:
1x 10.56 hours per week, Saturday 8.00-13.04, Sunday 08.00-13.30.
1x 14.4 hours per week, Monday & Friday 8.00-15.42.
1x 23.35 hours per week, Monday, Tuesday, Wednesday & Friday 08.00-1300, Thursday 08.00-11.21.
1x 20.24 hours per week, Mon 8.00-12.15, Tues Fri 8.00-12.00.
These roles are based at Glasgow Royal Infirmary.
Key responsibilities:
Customer Care
-
Welcome patients, relatives and visitors via the door entry buzzer system (where available) directing them to ward bedrooms ensuring that security, health and safety and infection control measures are understood and adhered to.

Answer ward telephone calls taking/relaying messages for multidisciplinary team members.

Provide information concerning the condition of patients to relatives as directed by nursing staff.

Ensure reception/clerical staff base and waiting areas are maintained in a presentable manner [cleaning of PC’s, telephones and casenote trolley
Patient Administration
-
Admit, discharge and transfer patients on TrakCare computerised Patient Management System (TrakCare).

Crosscheck bed census white board against TrakCare.
-
Pre-admit patients on TrakCare.

Arrange/request/book out-patient appointments.

Arrive/Discharge clinic patients.

Arrange ambulance transport for patients being discharged or routinely transferred to another hospital.

Arrange interpreter services.

Requests patient casenotes update TrakCare casenote tracking system whenever patient records are received or leave the ward area.
Knowledge, training, qualifications and/or experience required to do the job:
- Previous clerical and/or reception experience is essential.

Experience of working with the general public in a customer service environment is essential.
