About the vacancy:
We’re looking for a detail-driven Material Assurance Officer to ensure the effective control, accuracy and value of materials used across Property Services. You’ll carry out audits, monitor stock and spend, and validate ordering processes to minimise waste and improve efficiency. Working closely with operational teams, procurement and finance, you’ll provide insights and drive improvements that support cost control, strong governance and a smooth repairs service for customers
Specifically, in the role you will:
Materials Assurance, Validation & Control

Prepare van stock profiles in line with current stock usage.
- Conduct regular van stock audits, warehouse checks and materials spot checks to ensure compliance with agreed stock levels and standards.
- Validate stock consumption against jobs raised to identify over‑use, under‑use or inconsistencies.
- Monitor adherence to approved van stock profiles, escalating concerns where compliance gaps or inaccuracies are identified.
- Support reduction of waste, incorrect ordering and unnecessary spend by improving accuracy in material selection and stock usage.
Ordering, Procurement Support & Stock Allocation

Raise authorised orders on behalf of Repairs teams, ensuring correct cost coding, approval routes and alignment with procurement policies.
- Validate order requests to ensure the right materials, quantities and suppliers are selected.
- Support procurement colleagues by identifying trends that may indicate product issues, price variations or supply chain risks.
- Liaise with stores and suppliers to resolve stock issues, shortages and delivery concerns.
Spend Monitoring, Data Quality & Reporting

Track material expenditure at operative, team and trade level and identify variances, trends or anomalies.
- Maintain accurate logs of stock adjustments, audit findings, orders raised, and discrepancies identified.
- Produce spending summaries, exception reports and usage profiles to support decision making.
- Highlight repeated inaccuracies, unusual ordering patterns or material wastage to the Performance & Value Manager for action.
Continuous Improvement, Efficiency & Value for Money

Contribute to improvements across materials management, procurement workflows and stock control processes.
- Identify opportunities to reduce stock holding, simplify ordering and improve value for money.
- Support updates to materials catalogues, standard specifications and stock lists.
- Work with Property Services colleagues, the Repairs Assurance Officer and the Performance & Value Manager to ensure processes are aligned and consistent.
Customer Experience & Service Improvement

Help ensure that operatives have the correct, timely materials needed to complete repairs efficiently.
- Reduce delays caused by incorrect stock, unavailable materials or repeat visits.
- Use customer feedback and operational insights to support improvements in materials related processes.
Collaboration & Cross Team Working

Build strong working relationships with Repairs & Maintenance, Major Works and M&E teams, Operatives, Supervisors, Procurement and Finance.
- Support coordinated service delivery and consistent stock management practices across Property Services.
- Contribute to a culture of accuracy, accountability and continuous improvement across the team.
