Administration Assistant (Term-Time Only)

Hours: 2 days per week (ideally Monday and Wednesday, although there is flexibility for the right candidate)
Contract: Term Time Only (36 weeks per year)
Salary: £13.00–£14.00 per hour (depending on experience)

De Jong Academy is a specialist educational setting currently operating as an Alternative Provision (AP). As our academy continues to grow, we are looking for an experienced Administration Assistant to help ensure the smooth and efficient running of our school office and support our commitment to providing an outstanding experience for our students and families.
About the Role
This is a varied and rewarding role supporting the day-to-day administration of the academy. Working closely with the Administration Manager, and occasionally supporting the Principal, you will play an essential part in ensuring that our administrative systems, attendance processes and communications are well organised and effective.
We are looking for someone who is proactive, takes pride in their work, notices the small details, and is confident working independently within a busy school environment.
Key Responsibilities
- Monitor and maintain accurate student attendance records.
- Complete daily class and register checks.
- Contact parents and carers regarding student absences.
- Ensure all school records, logs and administrative documentation are accurate, compliant and up to date.
- Prepare and distribute emails, letters, newsletters and other communications to parents and carers.
- Support academy-wide communications and broadcasts.
- Provide administrative support to the Administration Manager.
- Provide occasional administrative support to the Principal.
- Monitor the presentation and upkeep of the academy, identifying maintenance or housekeeping requirements such as annual carpet cleaning, internal window cleaning, repairs or other improvements, and reporting these appropriately.
- Liaise with cleaning and maintenance contractors where required.
- Assist with the smooth day-to-day running of the school office.
- Undertake any other administrative duties appropriate to the role.
Essential Requirements
- Previous school administration experience is essential.
- Knowledge of school attendance procedures and general school office processes.
- Understanding of safeguarding responsibilities and the importance of confidentiality.
- Excellent organisational and administrative skills.
- Strong written and verbal communication skills.
- Confidence communicating professionally with parents, carers, students and staff.
- Good IT skills, including Microsoft Office and email systems.
- Ability to prioritise workload, use initiative and work independently.
- Excellent attention to detail and accuracy.
- A proactive approach with the confidence to identify issues and suggest improvements.
