Medical Administrative Assistant – Dr Helen Allergy & Dr Helen Medical

Dr Helen Allergy and Dr Helen Medical are growing specialist medical clinics based in Ringwood. We are looking for an experienced Medical Administrative Assistant to join our friendly team and help us deliver an efficient, professional and excellent patient experience across both our allergy and general medical services.
This is a purely administrative role, and previous medical administrative experience is essential. Experience within private healthcare would be particularly advantageous.
About the role
You will be a key member of our administrative team, supporting patients throughout their journey with us – from their first enquiry and appointment booking through to consultations, investigations, treatment, billing and follow-up.
The role requires someone who is confident working within a busy healthcare environment, has excellent attention to detail and understands the importance of both accurate medical administration and outstanding customer service.
Key responsibilities
- Managing patient enquiries by telephone, email and other communication channels
- Booking, changing and coordinating appointments across our medical and allergy clinics
- Providing a welcoming and professional front-of-house service
- Supporting patients throughout their complete customer journey, from initial enquiry through to follow-up
- Managing patient records, correspondence, clinic letters and other medical administration
- Processing payments, invoices and account queries
- Billing private medical insurance companies and managing associated administrative processes
- Liaising with insurance companies regarding authorisations, invoices and payment queries
- Liaising with doctors, nurses and other members of the clinical team
- Coordinating investigations, referrals and follow-up appointments
- Ensuring patient information and administrative records are accurate and up to date
- Supporting the smooth day-to-day running of both Dr Helen Allergy and Dr Helen Medical
- Maintaining patient confidentiality and high professional standards at all times
About you
Essential:
- Previous experience in medical administration or healthcare administration
- Excellent organisational and administrative skills
- Strong IT skills and the ability to learn new clinical and administrative systems quickly
- Excellent written and verbal communication skills
- Confidence communicating with patients, clinicians and external organisations
- Excellent attention to detail
- A professional, compassionate and patient-focused approach
- Ability to prioritise and manage a varied workload within a busy clinic
- Ability to work effectively both independently and as part of a small team
Desirable:
- Previous experience working within a private medical clinic or private healthcare setting
- Experience of private medical insurance billing and authorisation processes
- Experience liaising with private medical insurers
- Experience with medical billing, invoicing and payment reconciliation
- Experience using electronic patient record and appointment-booking systems
- An understanding of the importance of the patient/customer journey within private healthcare
Working hours
This position can be offered on a full-time or part-time basis.
Clinic administrative hours are across:
Monday–Friday, 8am–5pm
There will also be a requirement for occasional weekend working to support clinic activity.
Exact working days and hours can be discussed depending on the successful applicant and the needs of the service.
Salary
£15 per hour
