Job Purpose
The Operations Manager is responsible for the daily administrative, financial, logistical, and digital operations of the pool facility. This role bridges the gap between governance and physical operations, ensuring the charity maintains excellent customer service, smooth digital ticketing, rigorous water compliance, streamlined staffing, and accurate financial recording throughout the open season.
Key Responsibilities
1. Digital Platform & Website Management
- Shopify Administration: Oversee, update, and manage the eversholtswimmingpool.com e-commerce platform. Configure swim tickets, private hires, season memberships, and track stock control.
- Website Maintenance: Ensure the website remains visually up to date, functional, and user-friendly for online public bookings.
- Food & Stock Ordering: Process food, snack, and drink ordering through digital inventory networks to ensure the poolside kiosk remains fully stocked.
2. Financial Administration
- Xero Accounts: Handle daily financial administration via Xero software. Manage processing, tracking, and reconciling invoices, outgoings, and pool receipts.
- Account Reporting: Collaborate with the Board to prepare structured financial summaries for reporting cycles.
3. HR, Payroll & Scheduling
- RotaCloud Scheduling: Build, coordinate, and maintain staff rotas for pool attendants and lifeguards via RotaCloud to ensure 100% compliant shift coverage during active sessions.
- Payroll Execution: Reconcile timesheets and manage the timely processing of payroll for seasonal staff.
- HR Frameworks: Draft and issue compliant employment contracts, and update employee handbooks and onboarding booklets.
4. Operations, Infrastructure & Safety
- Water Maintenance Contractor Liaison: Serve as the primary point of contact for external water maintenance specialists to maintain strict health and safety standards.
- Chemical Management: Source, audit, and log the inventory of all pool chemical supplies to keep water quality clear and chemically balanced.
- Site Maintenance: Organise on-site physical maintenance, emergency fixes, and general facility grounds upkeep.
- Signage & Site Prep: Coordinate, mount, and refresh safety and informational signage around the recreation grounds. Lead end-of-season pack-downs and start-of-season setup preparation.
5. Customer Service & Community Engagement
- Public Queries: Direct day-to-day front-line public customer relations via email and social media channels. Resolving booking errors, session cancellations, and weather-related booking transfers smoothly.
Required Skills and Qualifications
- Software Competence: Prior hands-on experience using Shopify, Xero, and RotaCloud.
- Communication: Excellent verbal and written professional communication skills.
- Self-Regulation: Highly developed organisational habits with the capacity to coordinate field maintenance alongside digital desk tasks within 15 flexible hours per week.
- On-site: Ability to ensure quick emergency response times and timely on site support when needed.
Pay: £20.00 per hour
